Job Purpose: Maintain the club environment, daily operations and documents; provide administrative support to all departments, including golf, Grill, and grounds
Duties and Responsibilities:
Including, but not limited to:
- Assist staff with routine opening and closing duties - lights, TV, coffee/water, etc.
- Be a primary welcoming presence in the Club during regular business hours, greeting and addressing the needs of guests, staff and vendors in person and via phone calls and emails
- Serve as an alternate contact for vendors - IT, printer/copier, floral deliveries, phone and fiber optics, janitorial, etc.
- Inventory, order, and restock office supplies
- Run errands as needed, including picking up office and event supplies, drycleaning, etc.
- Cover accounting for mail runs and bank deposits when necessary
- Assist with reconciliation reports for credit cards
- Ensure Clubhouse is show ready at all times - welcoming, comfortable temperature wise, plants/pests, refreshments, odor, pics hanging right, debris anywhere, trash removal, etc.
- Maintain member contact databases, actively acquiring and adding new information
- Create and email event invoices for accounting as needed
- Work with Marketing and Operations to order uniforms, products, event supplies, etc.
- Multiple daily walkthroughs to ensure clubhouse is tidy and orderly
- Weekly cleaning duties - wipe down door knobs, light switches, Lysol all rooms, clean out kitchen appliances (microwave, toaster oven, coffee maker, fridge)
- Assist with new employee onboarding - printing materials, preparing uniforms, etc.
- Assist the Head Golf Professional with updating databases, printing materials for events, preparing for outings and member events, merchandising Pro Shop, and helping as needed with miscellaneous tasks
- Assist Marketing with website updates, newsletters, email campaigns, flyers, text campaigns, etc.
- Assist with membership application review, new member approvals, and onboarding
QUALIFICATIONS:
- Employee must be organized, personable, detail oriented and self motivated.
- Employee must have a valid driver’s license and reliable transportation.
- Employee must have excellent written and verbal communication skills
- Experience with CRM systems, e-mail marketing, website CMS, Canva, and design programs is preferred
EDUCATION:
- High school or equivalent (Required)
License or certification:
- Driver’s License (Required)
Reports to: Director of Operations
Works closely with: Head Golf Professional, Food & Beverage Manager, & Superintendent
Job Type: Part-time
Pay: $15.00 per hour
Expected hours: 15 – 25 per week
