Description
Purpose: The Provisional/Interim Manager for Portfolio & Onsite provides temporary management coverage for Association Managers within the company’s Association Management Divisions. This role involves stepping in during planned or unplanned absences (e.g., PTO, FMLA) or in instances when an Association Manager position is vacant. The Interim Manager is responsible for maintaining continuity in community management, overseeing operational tasks, and ensuring that association objectives are met during the interim period.   Key Responsibilities: * Temporary Management Coverage: Serve as the Provisional/Interim Association Manager during absences, effectively managing day-to-day operations for assigned communities, ensuring the continuation of high-level service. * Operational Oversight: Evaluate community management conditions and report findings to Division Managers, recommending necessary adjustments to ensure continued operational efficiency and compliance with best practices. * Task Execution: Oversee key responsibilities such as budget preparation, capital improvement projects, development of amendments, and Annual Meeting coordination, ensuring alignment with community goals and company policies. * Client Relations and Retention: Foster strong relationships with homeowners, residents, and vendors, addressing any concerns or service requests promptly. Proactively monitor client satisfaction to identify potential issues before they escalate. * Reporting and Communication: Prepare weekly reports detailing completed and pending action items, keeping both the Board of Directors and Division Managers informed of progress. Maintain clear communication with all stakeholders through written and oral updates. * Project Management and Strategy: Collaborate with Division Managers to develop new business strategies and retention initiatives, contributing to the growth and success of the assigned communities. * Onboarding and Training: Assist in the onboarding process for new Association Managers by providing comprehensive updates on ongoing projects, policies, and procedures, ensuring a seamless transition. * Property and Vendor Management: Conduct property inspections, schedule necessary repairs, and manage vendor relationships to ensure service quality. Evaluate vendor performance to ensure adherence to service agreements. * Financial Oversight: Review and report on community financials, including balance sheets, income statements, and budget forecasts. Approve association invoices in alignment with budgetary guidelines. * Administrative Duties: Maintain accurate documentation of all community management tasks, including covenant violations, work orders, mailings, and other administrative functions. Qualifications: * Educational Requirements: Bachelor’s degree or equivalent experience. * Experience: * A minimum of ten years of relevant experience, with at least five years in property management. * A minimum of two years of experience at the company level is preferred. * Proven ability to manage community associations, including budgeting, financial oversight, and vendor management. * Proficiency in using Vantaca, Concur, and Microsoft Office Suite. * Skills and Attributes: * Strong organizational, problem-solving, and project management skills. * Exceptional communication skills, with the ability to interact effectively with various stakeholders, including residents, homeowners, boards, and vendors. * High attention to detail and ability to handle multiple tasks simultaneously in a fast-paced environment. * Customer-focused approach with a demonstrated ability to manage client relationships.   Job Type: Full-time   Salary: Starting at $70,000 based on experience.   Benefits: 401(k) Dental insurance Vision insurance Health insurance Life insurance Paid Holidays Paid Time Off (Personal, Sick, Vacation, etc.)     Schedule: Monday to Friday, Occasional Weekends may be required     Qualifications Environmental and Physical Requirements: * Ability to attend evening meetings and perform site visits as needed. * Frequent travel within the assigned region, requiring reliable transportation. * Occasional physical demands, including the lifting of boxes up to 30 pounds and extended periods of sitting, standing, or walking.   License/Certification: Georgia Community Association Manager (GA CAM) (Required) Active Driver's License with clean driving history (3 Years Required)   Work Location: Onsite  After a satisfactory 90-day evaluation hybrid/remote work may be possible depending on the discretion of your supervisor and/or needs of the department.   Disclaimer The above information on this description has been designed to indicate the general nature and level of work performed by employees within this classification.
