You will be required to undertake and have experience in the following areas of expertise:

  • Maintain the accuracy, integrity, and regular auditing of the CMMS asset database, ensuring it reflects current assets and aligns with university objectives.
  • Oversee CMMS functionality, manage system upgrades, and identify opportunities for system improvements in line with Facilities Management goals.
  • Manage service provider data within CMMS, ensuring all planned and preventative maintenance programs—covering both technical and soft services (e.g., cleaning, gardening, pest control)—are consolidated in a single platform.
  • Monitor and audit outsourced service providers’ maintenance performance and service records to ensure compliance and quality.
  • Ensure maintenance tasks and preventative schedules within CMMS follow industry best practice and are suitable for UNSW buildings and infrastructure.
  • Oversee the 10-year asset lifecycle replacement strategy (Building Asset Management Program - BAMP), including the collection and maintenance of building fabric and envelope data.
  • Lead the CMMS change management process, including asset validation, condition audits, and service provider variations.
  • Develop and refine CMMS-related procedures, templates, and processes to support FM business needs.
  • Troubleshoot CMMS enquiries and issues prior to escalation to IT Campus Solutions, and review system usage data for improvement opportunities.
  • Provide expert technical advice on CMMS module enhancements and system improvements.
  • Deliver training and support to internal and external stakeholders on CMMS use, including onboarding, troubleshooting, and reporting.
  • Investigate and recommend tools or applications to enhance asset and infrastructure management within FM.
  • Act as a key contact for asset data handover from capital and minor works projects, ensuring seamless integration into CMMS.
  • Serve as a technical liaison across Estate Management teams—Engineering, Maintenance, Projects—and external service providers to maintain clear communication around CMMS operations
Responsibilities

WHY YOUR ROLE MATTERS

Facilities Management, a unit within Estate Management, is responsible for delivering operational support, including services, repairs and minor works for university clients. The team works closely with Faculties, Schools and Divisions to ensure buildings are well-maintained, functional, and meet user needs.
The CMMS Administrator plays a key role in managing the Computerised Maintenance Management System (CMMS), ensuring data integrity and system functionality. Responsibilities include updating the asset register, review and upkeep of maintenance schedules, issuing planned maintenance tasks to external providers, being the initial contact for system enquires and solution finding prior to escalation, training for system users, handling reactive maintenance requests, and managing infrastructure and building data required for strategic planning. The role will involve continued system review to improve efficiency, reduce data handling through automation, and improve and develop data analytics reporting and dashboards to support ongoing business processes and decision making. The role involves ongoing communication and collaboration with internal stakeholders and external service providers delivering technical, maintenance, soft services and minor refurbishments.
This position reports to the Senior Manager, Facilities Services, and has one direct report.
