Collections ManagerOverview
Pond Lehocky Giordano Inc. is seeking an experienced and detail-oriented Collections Manager to lead and manage all aspects of attorney fee collections. This role will be responsible for developing systems, processes, and strategies to maximize collections efficiency while managing the personnel engaged in collection activities. The position will play a vital role in ensuring timely receipt of fees owed to the firm, particularly in the areas of Social Security Disability (SSD) Fees from the Social Security Administration and Referral Fees from partner law firms.
Key ResponsibilitiesCollections Strategy & Oversight
· Develop, implement, and continuously improve firm-wide collection systems and processes to ensure timely recovery of attorney fees.
· Establish performance metrics and reporting mechanisms to track collection effectiveness.
· Ensure compliance with legal, ethical, and regulatory requirements related to collections.
Social Security Disability Fee Collections
· Manage the tracking, follow-up, and receipt of SSD attorney fees from the Social Security Administration.
· Manage the tracking, follow-up, and receipt of SSD litigation costs recovered from the client.
· Monitor case outcomes and ensure accurate fee requests, and litigation cost reimbursement requests, are submitted promptly.
· Resolve discrepancies or delays with the SSA and maintain strong working relationships with SSA representatives.
Referral Fee Collections
· Oversee the follow-up, and collection of referral fees from other law firms.
· Develop and maintain systems to track case referrals, fee agreements, and payments due.
· Coordinate with attorneys and staff to ensure referral agreements are properly documented and enforced.
Team Leadership & Management
· Lead, train, and supervise collections personnel across various departments, ensuring high standards of performance and accountability.
· Provide coaching, mentoring, and professional development to staff.
· Foster a culture of efficiency, accuracy, and professionalism in the collections department.
Collaboration & Reporting
· Work closely with accounting and operations teams to coordinate fee collection activities.
· Provide regular reports to firm leadership on collections performance, outstanding receivables, and trends.
· Identify opportunities to improve cash flow and reduce collection cycle times.
Qualifications
· Bachelor’s degree in Business, Finance, Accounting, or related field (required).
· Minimum 5 years of collections management experience, preferably in a professional services or legal environment.
· Strong knowledge of collections processes, receivables management, and relevant compliance requirements.
· Experience with Social Security Disability fee structures and/or referral fee arrangements in the legal industry (preferred).
· Excellent leadership, organizational, and communication skills.
· Proficiency in collections software, legal practice management systems, and Microsoft Office Suite.
· Ability to manage competing priorities and resolve issues with diplomacy and professionalism.
