Description The Area Facilities Coordinator is responsible for leading and optimizing building operations and maintenance for the commercial portfolio. This team member supports and assists the commercial team in all aspects of Facilities and Maintenance, including working on site as necessary and being available on the phone as needed. This role requires advanced knowledge and hands-on experience with commercial and retail facility systems, including HVAC, water mitigation, energy and building controls, and facility management software. Reports To: Director of Facilities Supervises: No direct reports; will work closely with the Commercial team Compensation: Exempt/Salary Gillespie Group requires a background and drug screen as a condition of employment. A valid driving license, vehicle, and current automobile insurance are required. The position requires individuals to furnish their own vehicle to fulfill all the job’s functions. This position requires the ability to work evenings and/or weekends as needed. CORE VALUES: Positive Team Player Creative Solution-Oriented Industrious Knowledgeable Trustworthy RESPONSIBILITIES & PROJECTS Oversee and coordinate maintenance projects for commercial and retail properties. Implement and maintain Best-in-Class standards for the assets, ensuring compliance with all relevant codes and regulations. Assist with Cap Ex-project identification, scope writing, budgeting, bidding, timely execution, and supervision of contractors during Cap Ex Work. Communicate information on project timelines, costs, and issues to the Director of Facilities and the commercial team. Commercial & Retail Maintenance: Manage specialized maintenance needs and requests for retail and commercial tenants, including storefronts, common areas, and inspections. HVAC Systems: inspection, repairs, preventive maintenance, and vendor oversight. Water Mitigation: Lead water mitigation efforts, including emergency response, remediation, and preventive strategies. Reviewing, updating, and ensuring EPP plans are in place on sites. Complete emergency repairs as required to prevent damage, deterioration, or unsafe conditions. Energy & Building Controls: Optimize and monitor energy management systems and building automation controls to maximize efficiency and sustainability. Facility Software: Utilize and maximize facility management software for work order tracking, preventive maintenance scheduling, and asset management across all property types. Provide training and guidance to site teams on commercial and retail facility operations, including advanced building systems and controls. Maintain strong vendor relationships to ensure projects and tasks are completed on time and within budget. Ensure sites are OSHA compliant and all safety logs/inspections are completed per requirements. Other tasks as assigned by the Director of Facilities. Requirements Qualifications: Minimum 5 years’ experience in facilities or maintenance management, with at least 2 years in commercial or retail property maintenance preferred. Advanced knowledge of commercial HVAC systems, facilities management, project management, plumbing, electrical, and building automation systems preferred. Demonstrated ability to leverage facility management software for operational efficiency. Experience with commercial and retail building codes, safety standards, and compliance requirements. Ability to display excellent customer service to internal and external customers Proficient in Microsoft Office applications Set project priorities to be organized in day-to-day, as well as track and maintain schedules effectively Ability to manage and organize multiple projects and prioritize to meet deadlines and budgets Ensure deliverables are on time and within budget Excellent communication skills and attention to detail Minimum Physical Expectations: Physical activity that requires the ability to exert 25 to 50 lbs. of force frequently and/or 10 to 20 lbs. consistently. Physical activity that, on occasion, requires lifting or moving 100 lbs. or more. Physical activity that requires the ability to operate standard tools frequently.
