ESSENTIAL SKILLS & EXPERIENCE:

  • Proven experience in a commercial, project coordination, or contract administration role (ideally within telecoms, utilities, or infrastructure).
  • Strong numerical and analytical skills
  • Proficient with Microsoft Excel.
  • Excellent attention to detail and a proactive approach to resolving issues.
  • Strong interpersonal and communication skills, capable of working cross-functionally.
  • Understanding of contract management, work order administration, and payment certification.
  • Experience working with subcontractors and suppliers, including managing POs and invoices.
  • Familiarity with BOQ, CDM, and construction or utility project workflows is highly desirable.

DESIRABLE SKILLS & EXPERIENCE:

  • Experience in IoT or smart infrastructure.
  • Previous Street Works or PIA coordination experience.

Responsibilities

WHAT YOU’LL BE DOING:

We are seeking a proactive and detail-oriented Commercial & Project Administrator to support the commercial and delivery functions of key infrastructure and smart city projects. The successful candidate will play a vital role in supporting the commercial team with contract administration, applications for payment, financial tracking, supplier management, and project coordination to ensure efficient and compliant project delivery.

KEY RESPONSIBILITIES:

  • Support and validate contractor applications for payment across multiple project phases, including IoT and smart infrastructure rollouts.
  • Manage and maintain change control processes for work orders, including cost assessment, evidence verification, and formal submission.
  • Certify interim payments and issue formal payment certificates to contractors.
  • Issue Acceptance Certificates upon verified completion of works.
  • Resolve quantity and rate queries with contractors and suppliers.
  • Assist with final account negotiations and certification.
  • Contribute to project cash flow forecasting and manage material call-offs in collaboration with the delivery team.
  • Maintain the Payments & Retention Tracker in coordination with the finance team.
  • Assess and reconcile permit chargebacks with build assurance teams, deduct permit fees from supplier accounts.
  • Raise material purchase orders via Anixter and Procurify, ensuring proper documentation and PO matching.
  • Provide day-to-day contract and supplier administration support.
  • Maintain project risk registers, RAID logs, and the Early Warnings Tracker.
  • Track project materials and progress against build programmes, gathering updates from field teams and partners.
  • Schedule and coordinate weekly progress meetings; capture meeting minutes and track follow-up actions.
  • Produce and circulate regular commercial status reports for internal and external stakeholders.
