Summary: Provides support to the Commercial Lending Department by maintaining accurate loan files, scanning and organizing closed loan documentation, and ensuring proper recording and release of mortgages and UCC filings. This position is responsible for preparing settlement statements and coordinating disbursements through general ledger accounts, wire transfers, or checks. The role also assists with internal audits, regulatory examinations, and post-closing reviews to ensure compliance with bank policies and regulatory requirements.   Key Responsibilities:    * Maintains new and paid commercial loan files.  * Scans all closed loans. * Prepares settlement statements, including disbursement of funds to GL Accounts, wire transfers, or check preparation. Record mortgages and UCC filings and releases.   * Assist in Loan Department audits.  Assist in Regulatory exams. Post-close reviews of files, filing or scanning closed loans and items as received.  * Ensures that commercial loan files contain documents with proper signatures, dates, and other relevant data.  * Checks documents for proper vesting, legal descriptions, closing dates, and signatures. * Prepares commercial loan disbursements and uploads information on core system. * Responsible for tracking UCC's, COGS, DBA's. * Set-up of Tickler files for commercial accounts. * Prepares periodic commercial loan reports. * Order title commitments and work with title agencies to obtain a clear to close. Schedule closings with title office.  * Engage with Appraisal companies for quotes on new appraisals. Facilitate payments for appraisals.  * Obtain quotes and order Environmental surveys. Facilitate payment for surveys.  * Update tickler system for financial and insurance data and tracking of corporate good standing or DBA filings. * Send letters requesting updated financials.  * Create and maintain monthly production reports for lenders to track their loans, deposits, and fees.  * Send weekly past due reports to lenders.  * Update commercial pipeline as needed with the status of all loans by lenders. * Other tasks as assigned.   Supervisory Responsibilities:  No supervisory responsibilities.       Qualifications * Good understanding of loan application policies and procedures, as well as documentation required by underwriters and government agencies when needed. * Excellent organizational and analytical skills. * Should have knowledge and ability to use office equipment. Must be familiar with Windows-based computer software.   Education and/or Experience High school diploma or equivalent.   Certificates, Licenses, Registrations Not applicable.   Work Environment: General office working conditions exist. Employee may experience sustained moderate/high periods of activity with multiple tasks being performed. They may experience communication with a variety of internal and external sources under favorable and unfavorable conditions. Noise level in the work environment is usually minimal.
