Our client, a reputable and expanding law firm in Coventry, are looking for a Commercial Property Legal Secretary to join their dynamic property department. Salary: £25,000 - £30000 depending on experience in field; Hours: 09:00am to 5:30pm, Office-Based, Permanent Role.

ESSENTIAL SKILLS & EXPERIENCE FOR A LEGAL SECRETARY IN COMMERCIAL PROPERTY

  • Previous experience as a legal secretary, preferably within a commercial property or real estate legal team.
  • Excellent administrative and organisational skills with the ability to prioritise tasks and manage workload efficiently.
  • Strong written and verbal communication skills, able to present information clearly and professionally to colleagues and clients.
  • High level of attention to detail and accuracy when preparing legal documents and correspondence.
  • Proficient in Microsoft Office, digital dictation systems, and legal case management software.
  • Proactive approach to problem solving, with the ability to work both independently and as part of a close-knit team.
  • Committed to maintaining confidentiality and compliance at all times.
  • A positive attitude and a willingness to contribute to a collaborative and supportive working environment.
Responsibilities
  • Provide comprehensive secretarial and administrative support to the commercial property team, including property solicitors and fee earners.
  • Prepare and assist with commercial property documents, contracts, leases, reports, and correspondence in accordance with legal standards.
  • Manage digital dictation, audio typing, and the production of legal documents to a high level of accuracy and confidentiality.
  • Coordinate and book appointments, manage diaries, schedule meetings, and arrange conference calls for the property team.
  • Liaise directly with clients, agents, lenders and third parties, maintaining a high standard of customer service at all times.
  • Assist with the submission of Land Registry applications, Companies House filings, and completion of SDLT forms when required.
  • Open and close files, ensure all documentation is filed correctly, and update records using the firm’s case management system.
  • Monitor deadlines, chase outstanding documents, and proactively support the property department to ensure smooth and timely completion of matters.
  • Contribute positively to the commercial property team, fostering a culture of collaboration, efficiency, and exceptional client care.
