Responsibilities
  • Assisting the sales team by preparing timely sales quotations against inquiries. Ensuring all Sales Representatives have high-quality, up-to-date support material.
  • Undertaking urgent calls, emails, and messages when sales representatives are unavailable, answering customer queries, informing them of timelines, arranging delivery dates, and scheduling marketing events.
  • Handling orders by phone or mail and checking whether they have the correct prices, discounts and product details. Ensuring they are processed according to customer requirements while maintaining accuracy and their delivery on time.
  • Collaborating with other departments to ensure sales, marketing, queries, and deliveries are handled efficiently.
  • Generate and issue delivery notes and track customer invoices.
  • Enter stock details accurately into the system (goods in/out). Maintain proper records of inventory, receipts, and dispatches.
  • Prepare and issue local purchase orders (POs) accurately and on time. Track and follow up on open Pos to ensure timely delivery.
  • Communicate with Suppliers to get quotations, negotiate prices and finalize terms. Local purchase orders processing and maintain accurate records of purchases, pricing, delivery dates and invoices.
  • Coordinate with suppliers regarding delivery schedule, delays or urgent orders
  • Monitor stock levels to identify purchasing needs. Coordinate with inventory/ warehouse team to avoid overstocking or stockouts.
  • Coordinate with other departments (production, sales, warehouse) to understand material requirements and resolving discrepancies.
  • Provide regular updates to management on order status and potential supply issues. Support procurement planning and budgeting activities.
  • Assist in evaluating supplier performance based on quality, cost or delivery. Update approved supplier lists and support vendor audit as needed.
  • Seek opportunities for cost savings through better sourcing and negotiation. Prepare and submit regular procurement reports.
