KEY SKILLS AND QUALIFICATIONS:

  • Previous experience in a similar administrative or sales support role, ideally in the automotive or commercial vehicle sector.
  • Strong attention to detail and organizational skills.
  • Proficient in Microsoft Office Suite (especially Excel and Outlook).
  • Invoicing, purchase order and cost sheet experience.
  • Excellent communication and interpersonal skills.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Understanding of vehicle taxation, registration, and invoicing processes essential.
    Working hours - Monday - Friday 9am - 5pm

Responsibilities

THE ROLE:

To provide administrative support to the Commercial Vehicle Sales team, ensuring that all vehicle orders are processed efficiently, customer records are accurately maintained, and sales documentation is completed in a timely and compliant manner. The role is key to ensuring a smooth and professional customer experience from order to delivery.

KEY RESPONSIBILITIES:

  • Process new and used commercial vehicle orders accurately and in a timely manner.
  • Liaise with the sales teams to confirm vehicle specifications, delivery dates, and order updates.
  • Manage and maintain accurate sales and stock records using internal systems and databases.
  • Prepare vehicle registration and taxation documents.
  • Raise invoices, process purchase orders and reconcile cost sheets, ensuring all financial transactions are recorded correctly.
  • Support the sales team with customer queries, third party bookings, and delivery arrangements.
  • Monitor delivery schedules and coordinate vehicle handovers with customers and transport providers.
  • Ensure compliance with company policies, legal standards, and data protection regulations.
  • Maintain internal reporting logs for sales, stock movement, and order progress.
  • Provide administrative support for finance and warranty documentation where required.
