The Alma Mater Society (AMS) is the oldest student association in Canada and has been a central student organization at Queen's since its founding in 1858. Today, the AMS acts as a service, advocacy, and governing body on behalf of all students enrolled in AMS-affiliated programs at Queen's University. The AMS is a not-for-profit entity created by the Society to ensure its continuing financial viability by overseeing the management of its services and associated financial affairs. It is bound by the By-laws and corporate philosophy of our Mission and Operating statements as set out in the AMS Constitution. In addition to providing wage-based service staff positions for students wanting employment, the AMS seeks to support the Society's broader objectives through the provisioning of a high quality, relevant range of student funded services, that provide a wide range of employment opportunities and meaningful out-of-classroom learning and skill acquisition experiences for students. CLB Communications and Development Manager Reports To Clubs Commissioner Job Summary The Clubs Commission facilitates the relationship between the AMS and the clubs community. The Commissioner of Clubs and the Clubs Commission maintains this relationship by overseeing clubs in terms of discipline, finances, insurance, human resources, club databases, policy, and events hosted by the Clubs Commission. The Communications and Development Manager will work with the Commissioner of Clubs as the first point of contact between the AMS and Clubs. They will manage marketing, including managing communication channels, newsletters, and other items. They will also spearhead professional development day and solicit feedback from clubs to explore opportunities. Finally, the Manager will support events and caucus, including the Tricolour Open House. Competencies · Accountability · Attention to Detail · Communication · Cultural Sensitivity · Problem Solving · Conflict Management · Time Management · Public Relations Job Duties · Manage communication channels between the Clubs Commission and Clubs (Constant Contact, WordPress Site) · Secure sponsorships for the clubs commission · Provide clubs with sponsorship procurement supports · Send out a monthly newsletter to clubs · Design Club Commission Instagram Posts and Marketing Material · Act as the primary point of contact with clubs · Support and plan a Professional Development Day with Education and Outreach supervisor. · Support annual club survey and feedback satisfaction including soliciting feedback from clubs on the different operations for the commission · Ensure clubs are aware of opportunities within the AMS as well as development level · Facilitate Club Awards with the Secretary of Internal Affairs · Support and plan Clubs Caucus once per term · Act as the scribe for all formal Club Caucus meetings, and meetings of other clubs bodies. · Acts as an ambassador for the Club’s Commission at various club events (Attend 5-10 events hosted by clubs per semester) · Act as liaison for clubs with AMS services (ie, cogro and Tricolour) · Ensure all student needs are addressed and handled professionally · Maintain a calm demeanor during periods of high stress · Maintain positive working relationships with relevant stakeholders related to all portfolios · Assist the Commissioner in the development of a goal plan, budget, mid-year review, and any relevant capital expenditure proposals · Coordinate activities with the Senior Manager by scheduling work assignments, setting priorities, and delegating work accordingly · Attend and fully participate in all in person and virtual meetings · Maintain consistent communication with all relevant stakeholders, responding to e-mails in a timely manner · Complete a thorough transition process with the incoming manager that includes one on one meetings and a transition manual · Complete other duties as assigned Job Requirements · Ability to remain calm and poised in urgent situations · Ability to identify measures of performance and actions needed to improve or correct performance · Demonstrated time management skills · Ability to supervise and motivate a team to achieve and exceed their goals · Ability to delegate, set expectations, and monitor progress of all direct reports · Sound analytical thinking, planning, prioritization, and execution skills Work Conditions · Interaction with employees, management, and the public at large · Working in an office environment · Operation of desktop computer and peripherals The AMS is an equal opportunity employer and does not discriminate against any employee or applicant for employment because of age, race, religion, colour, disability, sex, sexual orientation, or national origin.
