JOB SUMMARY:

To provide administrative and Marketing and Communications support to the Marketing & Communications department in its function to communication to customers, stakeholders, the general public and the media to raise awareness of and support for the library.

QUALIFICATIONS:

  • Three [3] year community college programme in journalism, marketing or communications or an equivalent combination of education and experience.
  • 1-2 years’ related experience in corporate communications or marketing.
  • Excellent writing and verbal skills; ability to edit and proofread; understanding of basic layout, graphic design, printing and photography.
  • Accuracy and speed in keyboarding.
  • Demonstrated knowledge of relevant software applications.
  • Broad knowledge of library services and issues to interpret them to the public and the media.
  • Confidence, discretion and tact in dealing with the public and the media.
  • Ability to plan and organize projects.
  • Interpersonal skills; ability to work well in team.

Responsibilities

DUTIES:

Under the general direction of the appropriate manager, this position is responsible for:

ADMINISTRATIVE DUTIES:

  • designing and using complex formats on databases to generate various documents and correspondence
  • designing micro-computer programs for statistical and report generation
  • arranging for the delivery, expediting and distribution of correspondence and documents from/to internal and external contacts
  • coordinating and scheduling projects and arranging required resources
  • identifying needs and researching, compiling and analyzing information related to marketing and communications
  • departmental activities and responsibilities
  • communicating and receiving information from/to internal/external contacts and resolving problems/conflicts of an administrative nature.
  • coordinating and processing purchase requisitions and petty cash; maintaining office supplies, attendance records and vacation schedules
  • reviewing and amending administrative procedures
  • performing other duties as required

MARKETING & COMMUNICATIONS DUTIES

  • promoting awareness and usage of the library’s collections and services by assisting in the writing and editing of marketing materials.
  • responding to customer queries; supporting the customer feedback function to assist the department in maintaining two-way communications with customers and facilitating the use of customer data for service improvements.
  • support departmental activities related to the maintenance of relationships with the local media and the library media to build and maintain the image of the library.
  • write first drafts of marketing, customer and corporate communications materials. including media releases, fact sheets, promotional copies and reports, as required.
  • participating in staff teams to coordinate specific marketing promotions, publications, events or fundraising initiatives.
  • marketing the library’s collections and services by overseeing the logistics of system and branch events and programs.
  • performing other duties as required.
