Description Join Quail West as our next HOA Manager — a pivotal leadership role supporting the daily operations, architectural integrity, and long-term success of our vibrant residential community. This role functions as the second-in-command for the HOA department and plays a vital leadership role in architectural review coordination, governance and compliance oversight, financial administration, and homeowner relations. The HOA Manager ensures operational continuity, sound decision-making, and professional member engagement — especially in the Director’s absence. Playing and practice privilege And many more! What You’ll Do Assist the Director with daily HOA operations, capital projects, and strategic initiatives. Serve as acting operational lead in the Director’s absence, ensuring workflow continuity and timely decision-making. Supervise, train, evaluate, and maintain time records for the HOA Coordinator. Professionally manage and de-escalate homeowner concerns using diplomacy and solution-oriented communication. Coordinate across security, landscaping, property services, compliance, and administrative teams to ensure efficient community operations. Conduct routine property inspections and initiate, track, and verify completion of work orders. Oversee ARB administrative processes including application intake, review coordination, and communication with applicants. Prepare ARB & HOA Committee meeting agendas, supporting documentation, and official minutes; publish decisions and maintain accurate records. Monitor approved construction and renovation projects for compliance with approved plans and governing standards. Track renovation and new construction timelines, including Site Plan Management (SMP) progress. Coordinate ARB billing, refunds, consultant invoicing, and builder compliance requirements. Oversee HOA/ARB compliance tracking and work order management software. Maintain governance records, community website, and Rules & Regulations updates. Issue No Objection Letters and manage closing-related documentation. Process invoices, credit card transactions, and checkbook entries in accordance with established internal controls. Track capital project invoices and support budget alignment and monitoring. Assist with annual budget and capital planning. Support monthly financial closing procedures and documentation. Coordinate community recognition programs (e.g. Yard of the Month) Requirements What We’re Looking For Active Florida Community Association Manager (CAM) license is required. Requires a high school diploma or GED; bachelor’s or associate degree preferred. Minimum of 5 years’ experience directly related to Community Association Management for large scale community 500+ homes specifically for Homeowner Associations. Requires ARC/ARB experience for homeowner’s association, a minimum of 3-5 years preferred. Strong knowledge of Florida Statutes Chapter 720, governing documents, and HOA operational best practices. Demonstrated leadership experience supervising administrative or operations staff within a community association. Strong organizational, leadership, regulatory knowledge, financial acumen, demonstrated professionalism, and exceptional communication skills. Must be able to use MS Office Suite, particularly Outlook, Excel and Word. Must be able to adapt to management software, work order, and computer programs being utilized. Notary Public (helpful for closings and association documentation). Must have strong multi-tasking and organizational skills Ability to interpret governing documents, policies, and applicable statues. Ability to interpret and follow verbal and written instructions. Ability to communicate effectively, both verbally and in writing and exercise diplomacy. Professional judgment, discretion, and confidentiality in handling records and resident matters. Interpersonal skills necessary to effectively interface with all levels of personnel and work in a team environment.
