Description We are a Community that offers a full range of services for residents who need retirement living, assisted living, rehab, skilled nursing, and more. We are seeking a Full-Time Community Coordinator to support our sales and marketing team and support carrying out our mission to deliver quality care to our residents by strategically managing our most important resource – people! The Community Coordinator will be working in accordance with established policies and procedures and/or specific instructions from the Director of Marketing and Sales. The Community Coordinator is responsible for assisting with visitors and prospective residents in a courteous and professional manner, performing administrative/clerical duties for the Sales Director, and coordinating new resident move-ins. Responsibilities Census management Manage Accounts Receivable along with follow up calls Coordinator of the Grand / Inn residents Coordinate the Community Center Liaison for Courts board and Providence Life Services Coordinate long term care application PCC knowledge recommended Office management of supplies Responsible for the professional handling of all incoming inquiries. Welcomes prospects and guests to the sales office. Receives all persons who enter the sales office in a courteous and congenial manner, offers refreshments and provides answers to initial questions. Provide back-up support for sales team as directed to promote the sales process through ongoing contact with a prospective resident. Manages all information relating to the prospective resident/inquiry: communication with administration, communication with direct supervision and accurate documentation of all contacts in the customer relations management software. Coordination of logistics for sales and marketing events, including coordination of theme, speaker, dining services, décor, attendee gifts and valet parking. Prepares closing packets and coordinates all aspects pertaining to scheduling move-ins and developing move-in guide. Meets with new residents to coordinate move-in details as assigned by Director of Sales. Manages the occupancy process from receipt of deposit to move in, helping to facilitate making the move to their new residence at Victorian Village as smooth as possible. Coordinates apartment customization as requested, provides addendum to resident when modifying apartment and works to ensure resident has a complete understanding of the contractor approval process. Works with Physical Plant Director and Housekeeping Director to ensure completion of apartments as assigned by the Director of Sales. Keeps all appropriate parties apprised of move-in dates and possible adjustments. Requirements A bachelor’s degree in marketing, Business, Education or Psychology is preferred. Must demonstrate excellent verbal and written communication skills and have the ability to present in person, in writing and on the telephone effectively with both large and small groups in English. Strong skills with Microsoft Office Suite experience is a must. Must be able to generate a friendly, trusting personality on first impression and have the knowledge of and special sensitivity to the needs of the elderly.
