POSITION DESCRIPTION The Community Investments Team is responsible for ensuring that the Foundation’s grant programs, special initiatives, and grants management services are expertly managed and meet the needs of our donors, nonprofits, and the community. At our core, the team keeps a steady pulse on community needs, current and local events, and our wide network of partners and related activities. The team shapes the Foundation’s grantmaking strategy and capacity-building programs that are intended to invest intentionally in the operational, programmatic, and financial success of nonprofits across the Miami community. The Community Engagement Assistant is an integral member of The Miami Foundation’s Community Investments team, serving as the backbone in overseeing administrative processes in place to facilitate nonprofit relationships with authenticity, care and connection. The Community Engagement Assistant is tech-savvy, detail-oriented, proactive, and a resourceful person deeply passionate about community impact in Miami. The Assistant will support the execution of the Community Grants program and year-round capacity-building efforts. Department -Community Investments FLSA Status - Non-Exempt Pay Range - $22.50 - $25.00 per hour ($46,800 - $52,000 annual equivalent), based on experience and qualifications Reports to - Director of Capacity Building DUTIES AND RESPONSIBILITIES Provide excellent customer by responding to inquiries, facilitating communication, providing materials, and scheduling meetings with key stakeholders, including nonprofit partners. Lead event and outreach logistics, including planning, communication, support, setup, and managing inventory of program materials. Support the creation and editing of program materials, presentations, and website content; maintenance of data systems to facilitate analysis and process improvement; and execution of grant agreements and reporting documentation. Process payments to vendors and nonprofits. Schedule meetings and coordinate logistics for the Community Engagement team. File and maintain electronic files across multiple platforms. Conduct searches and extract data within various software and resource tools. Assist in compiling data and reports needed for donors/funders. Take on ad-hoc assignments and special projects as needed to support the foundation's initiatives. This role requires occasional availability outside of office hours for donor and community engagement events. Requirements Experience, Abilities & Skills Experience 1-3 years of work experience in a professional office setting preferred Bachelor’s Degree preferred. Has worked in the nonprofit/foundation, public, or education sectors in Greater Miami. Abilities Knowledge of, and passion for, the Greater Miami community. Can research topics and gather information from multiple sources; multitask in a fast-paced, deadline-driven environment; and understand when to flag challenges and escalate appropriately. Highly motivated, self-starter with strong organizational skills and ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
