JOB DESCRIPTION: 3/11/26 Title: Community Standards & Landscape Coordinator FLSA Status: Non-exempt Reports to: Landscape & Facilities Manager Location: On-Site, Tehaleh Summary The Community Standards & Landscape Coordinator for our community will actively support the community values, vision, and philosophies, while demonstrating a style of support and organization that allows resident needs to be met with a high level of satisfaction. The Coordinator will provide a warm, welcoming, professional approach when interacting with residents, colleagues and vendors while utilizing their knowledge of landscape and facilities operations. Specifically, the Coordinator will monitor the operational needs of community amenities and common areas to ensure optimal care and function and, as necessary, carry out maintenance and repair functions with assistance from vendors as needed, both in tandem with the Manager. In addition, the coordinator will manage all the administrative responsibilities associated with the role while providing support for the overall efficiency and effectiveness of the Community Life Team. This position requires a cooperative and positive attitude, and the ability to manage multiple activities with exceptional follow-through. Scope · Coordinate and monitor on-going landscape maintenance, facilities maintenance & service, and installation projects. · Perform community-wide compliance inspections; prepare and send all necessary correspondence between the Association and property owners on non-compliance matters in accordance with the Governing Documents. · Interpret governing documents and community guidelines to determine compliance and non-compliance issues. · Track and monitor community standards; maintain the integrity of all compliance documentation. · Manage third-party community standards and enforcement software. · Anticipate, analyze, and resolve field operational problems in a timely manner. · Assist with requests to vendor & contractor for bids & proposals. · Assist with budget preparation; manage maintenance budgets and schedules as directed by Manager.. · Assist with maintaining an up-to-date tree inventory database system. · Prepare weekly reports on all landscape repairs, fountains, playground equipment and maintenance concerns for Manager. · Attend regularly scheduled landscape coordination meetings with landscape partners. · Submit work orders as required and follow-up to ensure resolution. · Respond to inquiries from community stakeholders regarding landscape maintenance protocol and any other applicable concerns by conducting inspections and other tasks. · Coordinate with Operations Team to track & resolve landscape related community concerns and work orders. · Maintain and track requests (locations, entity, and other details) for community wide tree and plant replacement projects. · Coordinate and monitor facility service, maintenance and renovation projects. · Assist with amenity inventories. · Assist in record keeping of turnover documentation from the Developer to the Association. · Assist with processing landscape and facilities related expenses for payment. · Assist the Manager with preparing master contract documents, addendums and change orders for landscape and facilities related contracts. · Ensure collection, tracking and verification that contracted vendors are in compliance with insurance requirements. · Assist the Manager with electronic filing of documents in SharePoint and the community website. · Attend after-hours meetings and events as needed. · Collaborate with the Engagement team on the planning of educational community-wide workshops, events, and outreach programs to grow community knowledge and familiarity with the community vision, guidelines, and architectural standards. · Other responsibilities as assigned. Knowledge | Experience · High School diploma or GED required; College coursework and/or skill-based technical training is highly desired. · 2 years of progressively responsible customer service, administrative and/or operations management experience required. · Knowledge of community associations, community amenities and community governance a plus with a minimum of 1 year of community association management experience preferred. · Working knowledge of the local landscape maintenance industry and a general understanding of water management preferred. · Education or experience in landscape management, construction, arboriculture, water management, facilities management, and building trades is highly desired. · Ability to communicate effectively with a team of skilled and technically trained consultants and contractors. · Ability to work in a team environment and on multiple projects simultaneously. · Proficient in Microsoft Excel, Word, databases, and various project applications preferred. · Maintain CPR, First Aid and AED certifications preferred. Work Environment · The coordinator should expect to work a flexible schedule, including evenings, weekends, and some holidays. · Ability to provide one’s own transportation; must have a current drivers’ license and an acceptable driving record. · May be required to frequently lift and/or move up to thirty (30) pounds and be on feet for extended periods and be physically able to complete execution of duties. · Must be able to work in indoor and outdoor environments during sometimes difficult weather conditions.
