Job Description
Working within our Company Secretarial Team, this role is based in our Melbourne CBD office and is responsible for supporting and assisting in the administration and maintenance of key governance systems and processes in the Company Secretarial team.

Key responsibilities include:

  • Supporting and assisting with Board & Committee meeting processes, drafting agendas, updating documents, managing work flows, key dates, strict timelines and interacting with other areas of the business to ensure timely provision and dispatch of papers.
  • Responsible for maintenance of Board/Committee intranet and communication channels insofar as it relates to content.
  • Assisting with the administration of the management of the Company’s subsidiaries including joint ventures.
  • Responsible for the management and maintenance of the key governance IT systems, software and technology
  • Assisting with developing systems and procedures to facilitate more efficient and smooth functioning of the Company Secretarial function with a focus on Board/Committee processes and subsidiary portal maintenance.
  • Working closely with, and providing support to, the Company Secretarial team in implementing and reviewing governance processes and practices.
  • Responsible for co-ordinating approvals and execution of documentation, in accordance with policies and procedures.
  • Contributing to the success of the Company Secretarial function, including attending team meetings, identifying areas for improvement and efficiencies in Company Secretarial systems, updating key documents and driving implementation of those improvements.

Qualifications
This position demands exceptional organisational and communication abilities, a comprehensive understanding of critical governance IT systems, and meticulous attention to detail. You will engage with key stakeholders, including executive and senior-level personnel both internally and externally, which requires confidence in collaborating with individuals at all levels within the organisation. Ideally you will have experience working in a company secretarial environment, ideally at an ASX listed company. This will give you the familiarity with corporate governance principles and practices required to be successful in this role.

Additionally you will have:

  • Bachelor of Business or similar
  • Technological knowledge – must be confident in negotiating and operating systems, software and technology. Knowledge of Diligent or similar Board portal will be viewed favourably.
  • Advanced skills in Microsoft Office suite of software packages (Word, PowerPoint, Excel, Outlook)
  • Project Management skills
  • Demonstrated ability to work to deadlines and manage multiple priorities in a fast paced working environment
