We are seeking an experienced and motivated Company Secretary & Executive Support Coordinator to provide comprehensive executive and administrative activities to the Chief Executive Officer and the General Management team to support the achievement of operational objectives. Liaise effectively with staff and external stakeholders, prioritize correspondence, and draft quality documents to support executive decision-making. This position will also oversee the reception team to ensure a high level of customer service and quality standards.

Responsibilities:

  • Provide executive, secretarial and administrative support to the Chief Executive Officer and executive team
  • Provide leadership and assistance to the reception/customer service team to ensure Corporate Head Office operates effectively
  • Provide project management support
  • Organise corporate meetings and functions
  • Provide comprehensive diary, administrative and secretarial support to the Chief Executive Officer and General Managers
  • Coordinate executive communications, including taking calls, email correspondence and interfacing with clients and drafting correspondence for the Chief Executive Officer
  • Scheduling of Board and Committee meetings, coordinating Board events and travel requirements
  • Provide secretarial duties to the Board and lodgment of regulatory and other compliance documentation and maintain the membership database.
  • Administrator for the company record management registers, electronic and paper filing, including file destruction
  • Manage relationships with key external and internal stakeholders, effectively negotiating and advocating on behalf of the organisation
  • Uphold a strict level of confidentiality and develop and sustain a level of professionalism among staff and residents
  • Undertake special assignments and projects as referred to by the Chief Executive Officer, ensuring completion within deadlines and achieving the required outcomes
