Job Description

Summary of the role Job Title: Compliance Administrator
Department: Operations
Location: Bedford School, De Parys Avenue
Job Purpose: To ensure all year-round service delivery for
the School in the following areas of
Operations:

To assist the Operation Director in health &
safety systems, risk assessments and
policies.
To monitor all aspects of regulatory and legal
compliance relating to health & safety
compliance, ensuring that regulations are
followed, risk assessments are in place and
updated, training undertaken is recorded,
and policies are maintained.
To act as the main administrator for the
school’s CAFM system, proactively
monitoring compliance and booking
contractors to carry out any work required.
Reporting Line: Operations Director
Hours: 40 hours per week, Monday to Friday. The
post-holder will be required to work as
necessary to complete the job (subject to the
Working Time Regulations 1998).
Main duties and responsibilities You are expected to act in accordance with the aims, policies, and administrative
procedures of the School.
Specific Duties and Responsibilities
The main duties and responsibilities of the Compliance Administrator are as
follows (this list is not exhaustive):
Promoting and managing the risk assessment process for the School Estates
and Operational Teams.
Reviewing and ensuring risk assessments are completed at regular intervals
or when events give rise to such.
Supporting the Facilities Manager and other relevant heads of department
with assessing premises risks such as vehicle and pedestrian movements,
school minibuses, waste control, construction work etc.
Coordinating the H&S audits & external risk assessments and be responsible
for ensuring all recommendations for improvements are in put place by
those responsible.
Conduct annual audit of H&S training and ensure INSETs include H&S
training for staff.
Maintain staff statutory and compliance training records.
Maintain safeguarding, insurance and compliance documentation for all
school contractors, working with HR to ensure safeguarding checks are
carried out where necessary.
Monitor COSHH assessments for the academic and support departments.
Maintain accident and incident records and flag to the DFO where
investigations are required.
Produce inspection and audit reports as required in line with agreed
timescales.
Conduct risk assessments relating to specific activities where applicable (e.g.,
Maintenance / Grounds activities), providing guidance to staff and ensuring
compliance and that recommendations are put in place and are acted upon.
In conjunction with the Facilities Manager arrange fire risk assessments and
organise and record fire drills.
Assist the Head of Maintenance in the coordination of all cyclical external
maintenance and inspection regimes, ensuring statutory inspections are
carried out in accordance with the relevant regulations i.e., Asbestos,
Legionella, Lifting Equipment, Electrical (fixed wire, PAT), Fume Cupboards,
LEV, Ladder checks etc.
Proactively manage the school’s compliance software to ensure compliance
is maintained.
Assist the Estates Department with Purchase Orders.
Coordinate termly departmental Head of Department H&S checks and
record actions in conjunction with Estates & Facilities Manager.
Keep accurate records/issuing of school car parking permits and mobile
phones and ensuring the management of driver license status and the
scheduling of driver training as appropriate.
Ensure health and safety notice boards are up to date and disseminate
information as required.

Undertake all administration associated with access control, including
keeping the key register and key stock list up to date, and ensure the key
signing in and out book is used.

Undertake all necessary administration around policies, including keeping an
up to date policy schedule and working with members of staff to ensure
policies are maintained.
Undertake other duties as may be reasonably requested by the Director of
Finance and Operations, Operations Director or other senior members of the
School.
You may also be required to undertake such other comparable duties as the Trust requires from time to time.

Willing to undertake NEBOSH General Level 3 or NVQ level in Health and
