JOB SUMMARY

To assist the Compliance Director by providing administrative support, using our bespoke management systems.

REQUIREMENTS / THE PERSON

  • IT knowledge including MS Word and MS Excel
  • Personal assistant/Admin assistant experience
  • Good people skills; personable, articulate
  • Customer service experience
  • Organised with attention to detail
  • Good written and verbal communication skills
  • Happy to travel between Epsom and Cobham sites when required
  • Confidentiality is vital to the role
Responsibilities

Assist with the management of complaints and incidents

  • Collate investigation documents
  • Ensure timelines are monitored and adhered to
  • Upload and file documents
  • Organise meetings
  • Monitor achievements against outcomes
  • Draft shared learning reports
  • Attend and manage Incident Review Group meetings

Assist with management of personnel task lists for clinicians and staff

  • Monitor compliance
  • Send reminders
  • Report compliance data monthly as required for clinical governance quality reporting
  • Organise and book external training

Assist with management of general compliance task list

  • Schedule compliance tasks in system
  • Monitor compliance
  • Source due documents
  • Upload documentation
  • Report compliance data as required for clinical governance quality reporting

Assist with management of data requests

  • Log information requests
  • Liaise with appropriate department manager to ensure documentation is collated and sent to the requestor

Support the Compliance Director to fulfil organisational mandatory reporting

  • Assist with the completion of reporting documents by sourcing and collating data required
  • Upload documentation
  • Minute meetings and produce agendas
  • Report compliance data as required for clinical governance quality reporting
  • Monitor compliance of contractual obligations in relation to patient pathways
  • Monitor policy and risk register compliance; send appropriate notifications
  • Assist with the collating of patient satisfaction data
