REQUIREMENTS

  • An understanding of professional service and/or the building/property industry preferred with experience working within Facilities Management and/or a Health and Safety function is desirable.
  • Strong administration and organisational skills. Excellent knowledge of the Microsoft Office suite of packages and comfortable learning to use new systems.
  • Highly organised, self-motivated and reliable.
  • Excellent documentation and communications skills, both written and verbal, with the ability to liaise effectively with both internal stakeholders and external clients. Utmost discretion and integrity.
  • Experience using compliance management tools such as QHUB or similar platforms is advantageous, for development of PQQ solutions.
  • Demonstrates critical thinking and problem-solving skills to address challenges that arise in maintaining compliance.
  • Ability to write clearly and concisely – a strong grasp of the English language is essential.
  • High attention to detail – the applicant must be a good proof-reader.
  • Can-do attitude with ability to work effectively independently and as part of a team when necessary.
  • Analytical thinker who uses initiative and able to learn independently.
  • Ability to manage workload to meet deadlines with the ability to multi-task.
  • Experience of working within a customer focused environment.
  • Managing Safely (IOSH) is desirable to support H&S audit activities as well as cover for H&S Induction delivery.
Responsibilities

The main objectives/responsibilities of the role are:

  • To lead day-to-day management of the compliance engagement aspects of the business that permit Hollis’ employment of consultants and contractors to deliver Hollis services.
  • To maintain our procedures and manage communications regarding PQQ of consultants and contractors.
  • To undertake the necessary checks associated with the appointment of consultant’s and contractors, entering the necessary data onto Hollis’s systems to register, inform and update status of these consultants and contractors. This could involve questionnaire reviews for those organisations who are not members of Constructionline / CHAS.
  • c. To manage the Compliance in-box regards supporting fee earners with our procedures to appoint approved consultant and contractors.
  • Maintain and monitor various accreditation portals.
  • Review intranet content for accuracies and carry out requested updates. Refresh content. Research topics for inclusion.
  • Support the Senior / Audit & Compliance Manager with ISO audit preparation activities and the completion of audits, including assessments covering Quality, Health & Safety, and Environmental. Collaborate with the Senior / Audit & Compliance Manager and team to develop and implement quality checks and initiatives aimed at continually improving business delivery and ensuring compliance across all areas.
  • Assist with internal audits and assessments to ensure continuous compliance with industry standards and internal procedures.
  • Collaborate with P&C and Operations teams, as well as external stakeholders, to ensure that compliance and contractor management processes are integrated across departments for consultant and contractor appointments for fee earning activities.
  • Build and maintain strong relationships with external certification bodies, contractors, and consultants to ensure smooth compliance processes and further continuous improvement.
  • Support the team in handling any compliance-related incidents or issues, ensuring swift resolution and adherence to regulatory standards.
  • Identifying and assessing business risks by regularly evaluating areas of significant risk within Hollis and reporting this back to the Senior Audit & Compliance Manager to include in board reports.
  • Additionally, assist with the delivery of the Health & Safety induction to new starters or work experience candidates as part of the overall audit and compliance process.
  • Research EH&S matters such as H&S legislation and new initiatives for continual improvements and company updates.
  • Manage incident and accident reporting and investigation following any reported incidents.
  • Support the EH&S Group with queries and attending quarterly meetings, contributing to the agenda and minute taking.
  • Manage EH&S systems such as our H&S portal, training, and records.
  • Conducting training sessions to increase awareness and knowledge of compliance issues.
