Description PRIMARY RESPONSIBILITIES: Supports and Assists the VP of Compliance and IT; HIPAA Privacy and Security Officer in carrying out compliance and IT activities as requested. Conducts provider structural compliance reviews and unit of service verification reviews in an accurate and timely manner. Reviews provider applications, conducts on-site pre-certification reviews and completes recommendations for certification as appropriate. Identifies provider problems and resolutions and provides technical assistance regarding quality and compliance issues as needed or requested. Prepares for and completes on-site visits and desk reviews timely as needed. Assists Area Agency staff with resolution of service delivery issues. Maintains all appropriate documentation in formats prescribed by the PAA, ODA, and other funders as applicable. Stays up to date on rules, requirements, policies, and other compliance guidelines for each funding source. Maintains and updates all provider contract information in the designated information management system utilized by the Ohio Department of Aging (ODA). Assists with various aspects of Title III RFP and Bid Proposal processes and coordinates activities essential to the Request for Proposal and renewal bid processes including preparing application, reviewing submitted applications, following up with applicants, preparing presentation for CEO, Advisory Council, and Board of Directors. Coordinates the completion of various contract/NGA/MOU-related activities, including but not limited to, development; tracking; filing; and scanning to ensure contracts are prepared, executed, and maintained according to AAA and ODA guidelines and procedures. Coordinates required activities within the Agency’s Learning Management System including, but not limited to creating new users, assigning annual required courses, ensuring staff completion of all assignments. Ensures staff completion of M-Files acknowledgment assignments working with Leadership as appropriate. Coordinates Motor Vehicle Record (MVR) verification with the Agency’s insurance company for fleet drivers and conducts monthly audits of staff driver’s license and automobile insurance coverage. Coordinates annual and ad hoc Conflict of Interest review of all staff including tracking real and potential conflicts. Conducts IT orientation for new hires and follow-up training as needed. Conducts verification of new hire equipment setup and role-based access prior to new hire first day. Conducts offboarding activities as assigned. Assists the VP of Compliance & IT with purchasing including but not limited to creating requisitions for purchasing. Maintains the Agency’s IT equipment inventory in accordance with Agency policies and procedures. Ensures inventory list is updated as equipment is purchased and/or decommissioned. Ensures annual inventory is conducted by a neutral party. Maintains the Agency’s emergency mass texting communication system including creation and updates of users and user contact numbers. Assists with the development of division policies and procedures as directed. Generates and maintains reports as required. Drafts change stories and memos as directed. Requirements QUALIFICATIONS: Associate’s degree and 2 years’ work experience preferred. Strong written and verbal communications skills. Working knowledge of Microsoft Word and Excel experience required. Must have a valid State of Ohio driver’s license. Ability to analyze and evaluate data presented. Ability to communicate professionally, respectfully, and effectively. Ability to make sound decisions and demonstrate critical thinking skills. Ability to prioritize, organize and maintain accuracy in a flexible job environment.
Responsibilities
