Description Position Overview The Escrow Compliance Coordinator is responsible for ensuring the integrity, accuracy, and regulatory compliance of all escrow transactions across the organization. This role conducts systematic audits of escrow files, reviews supporting documentation, verifies fee accuracy, and ensures that all policies, procedures, and industry regulations are strictly followed. The ideal candidate is highly detail-oriented, process-driven, and committed to maintaining a culture of accuracy, transparency, and risk mitigation. Key Responsibilities Audit active and closed escrow files to ensure required documents are present, properly executed, and stored according to company and regulatory standards. Verify that all fees are accurately entered into the system and consistent with signed agreements, settlement statements, and regulatory requirements. Confirm compliance with federal, state, and local regulations (e.g., RESPA, FinCEN, Nevada DOI requirements, OFAC, AB-284, FIRPTA, etc. as applicable). Review payoff statements, wire confirmations, settlement statements, and supporting documentation to ensure accuracy and completeness. Identify discrepancies, documentation gaps, or procedural violations and communicate findings clearly with escrow officers and managers. Track and monitor corrective actions, ensuring timely resolution of audit exceptions. Maintain audit logs, reporting trends, common errors, and opportunities for training or process improvement. Assist in developing and updating company compliance policies, procedures, and checklists. Serve as a resource for escrow staff by providing guidance on compliance-related questions and best practices. Perform periodic spot-check reviews on wire procedures, preliminary report holds, recording requirements, and disbursement approvals. Ensure every transaction is “audit-ready” with all I’s dotted and T’s crossed prior to file completion. Qualifications Prior experience in escrow, title, mortgage compliance, or auditing preferred. Strong knowledge of real estate settlement procedures and compliance regulations. Exceptional attention to detail and organizational skills. Ability to communicate findings professionally and constructively. Proficient in escrow software systems (e.g., Qualia, Resware, Ramquest, etc.) and digital document management tools. Ability to maintain confidentiality and exercise sound judgment in decision-making. Strong analytical and problem-solving skills.
