About the role
The Executive Officer (Governance, Policy, and Secretariat) is responsible for providing high-quality executive, governance, and administrative support to the Chief Executive Officer (CEO), Board of Directors (BoD), and standing committees while identifying and supporting continuous improvement and quality enhancement initiatives related to the Institute’s systems, policies, compliance, and processes. The role assists the Executive Management Team (EMT) with implementing the Quality Assurance (QA) framework and developing and delivering policies, systems and services that support the Institute’s organisational purpose. This role also provides a Secretariat function, supporting the Institute's governance arrangements.
Key responsibilities
Governance and Policy
- Support the development of relevant policies, systems and services that support effective student experiences and business operations
- Coordinate the Institute’s corporate and academic governance arrangements
- Manage governance member documentation and induction in liaison with relevant Chairs
- Maintain Institute policies to support continuous improvements and increased business efficiency compliance with regulatory requirements.
Secretariat
- Perform secretariat functions. This includes preparing and distributing agendas and papers, attending meetings, taking minutes, and record-keeping as required (such as maintaining an action register)
- Responsible for appropriate record management of governance documentation
- Facilitate the preparation of organisational documentation such as reports, briefs, project implementation plans and other materials as required.
Compliance
- In conjunction with the CEO and the Dean, support quality assurance activities and processes to support continuous improvements and increased business efficiency in compliance with regulatory requirements, including preparing QA-related information.
About you
- Tertiary qualification(s) — minimum bachelor's degree; a postgraduate qualification in tertiary administration (or equivalent) is desirable
- Substantial senior management or administrative experience in higher education or a similarly complex organisation
- Strong knowledge of policies, regulations and compliance requirements in the Australian higher education context, including international education
- Experience providing committee support (secretariat) services
- Demonstrated project management and administrative skills, with the ability to prioritise and meet deadlines within budget
- Advanced interpersonal skills and the ability to build networks with diverse stakeholders
- A track record of designing and implementing continuous improvements in consultation with stakeholders
- High-quality writing and editorial skills with sharp attention to detail
