Description o Promptly, accurately, professionally and courteously receives all telephone calls and visitors o Assess received calls/inquiries and directs and/or records and relays messages o Greet members and guests as they enter the clubhouse and handle questions / requests o Create lodge reservations as requested by members or department heads o Create spread sheet and run reports on lodge activities o Check members / guests into the lodge recording all pertinent information o Use all features of the telephone system and voice mail o Ensure knowledge of staff whereabouts o Ensure the concierge station is staffed 100% of the time o Assist with dining reservations and other club amenities o Assist office staff with projects as needed o Sign for deliveries and notifies recipients o Maintain excel spreadsheet for telephone extension list o Order office supplies for the office staff as needed, put away and organize office supplies upon delivery o As needed, notifies vendor of service issues related to leased equipment (e.g., postage machine, copiers, fax and doc send, etc.) o Maintain a thorough working knowledge of and adheres to organization policies, regulations and procedures o Keep immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor o Maintain confidentiality in discussing staff and organizational matters o Perform routine office tasks necessary for the operation and presentation of a professional office o As needed, assists with clerical tasks to include typing, filing, proofreading, and maintenance of logs and data entry. o Assist in other duties as needed and directed Requirements o High school education or equivalent required o Microsoft Office Suite experience required. Word, Excel, PowerPoint, Outlook and Internet familiarity are essential o Requires ability to comprehend and interpret instructions, short correspondence and memos o Knowledge of office equipment (fax, copier, etc.) o Excellent communication and organization skills o Must have valid Florida driver’s license and personal automobile available to run work related errands, company will reimburse mileage for all business travel required. Essential physical requirements: o Must be physically able to do assigned work as outlined above. Must be physically able to sit and use the computer for hours at a time. o Must be able to lift up to 15 pounds. o Must be able to communicate in English effectively with other individuals. o Must be able to maintain good relations with employees, supervisors and the public. o Must be able to follow written and verbal instructions.
