Description:

Job Description

The Conference Room Coordinator is a dynamic, fast-paced customer service role providing essential meeting and conference support. This position requires a highly motivated individual with strong communication and problem solving skills.

  • Manages all room bookings for conference centre
  • Set-up and take down of managed conference rooms (moving tables, chairs, monitors, podiums, etc.)
  • Provides meeting support for all Audio /Visual & IT equipment
  • Regularly Liaison with meeting organizers, and other suppliers/contractors as required
  • Maintains space, including general housekeeping, coffee stations, safety walks, storage room & supplies, etc.
  • Maintain integrity of the AV e.g. batteries, cables, projector lamps, etc.
  • Report faults, repairs & housekeeping items into Planon
  • Fire Warden and Safety Representative for conference centre space
  • Tracks managed room utilization
  • Assists as required with other conference rooms at site
  • Other duties as assigned or required.

Schedule: 40 hrs/wk, Monday-Friday
Hours: May vary depending on meeting schedule. Typical : 7AM-4:00PM, 8:00AM-5PM.
Term: 3-9 month contract term

Qualifications

  • High school diploma required. Degree / Certification and/or work experience in concierge and/or AV preferred.
  • Strong work ethic, self-motivated, and initiative for quality and superior customer service.
  • Strong computer & Microsoft Office skills (MS Office)
  • Excellent interpersonal and communication skills (written and oral)
  • Excellent problem solving skills
  • Able to work in a fast paced environment, and under tight deadlines
  • Readily adaptable to changing work priorities
  • Able to stand and walk for long periods
  • Able to lift up to 40lbs
