JOB DESCRIPTION

The Conference Office at the University of Winchester is looking for an experienced and commercially minded events professional to take a leading role in delivering and developing the University’s conference and event services.
As Conference Co-ordinator, you will manage a portfolio of commercial and internal events, from enquiry through to post-event follow-up. This includes handling sales leads, preparing detailed quotations, negotiating contracts, and maximising revenue by strategically placing events across campus. You will also be responsible for supervising casual staff, and the events officer. Planning the successful delivery of back-to-back events, ensuring smooth operations in a fast-paced environment.
A key part of the role involves leading event meetings with internal stakeholders, ensuring all requirements are met and actions are followed up. You will also manage invoicing, financial tracking, and accurate quoting for complex bookings.
We are looking for an organised and proactive individual with a strong background in event coordination, logistics, and venue sales. You should be confident in managing high-volume events, problem-solving under pressure, and leading operational teams. Flexibility is key, as evening and weekend work will be required to support event operations.
The Conference Co-ordinator is responsible for the successful planning, administration, and delivery of commercial and internal events at the University. The post holder will manage their own portfolio of events, proactively identify and convert sales leads, and strategically place bookings across campus to maximise revenue. They will oversee all event logistics, ensuring smooth operations for a high volume of back-to-back events, while also supervising casual staff and the events officer and leading event planning meetings with internal stakeholders.
The role includes handling enquiries, preparing and modifying contracts, managing invoicing and financial tracking, and ensuring clear communication with other departments. Additionally, the Conference Co-ordinator will assist with conference marketing and business development, helping to drive growth and secure repeat bookings. Regular operational cover, including evening and weekend work, will be required to support event delivery and maintain high standards of customer service
