Description

Attendee Services team members work with clients, internal team members, and external partners to manage all aspects of attendee-facing communications, web platforms, and the registration process for virtual and in-person corporate conferences, meetings, and events. A Coordinator assumes support or full coordination responsibility of the Attendee Services aspects of all in-person or virtual programs assigned after the sales process to ensure the client vision and needs are clearly communicated and executed. A Coordinator can accomplish this goal by implementing the metroConnections Brand Pillars in everyday work functions with internal colleagues and external clients and partners: Connection, Innovation, Adaptability, Partnership, Dependability, Execution.
This is a full-time, salary, bonus-eligible, hybrid position. Work locations will include independent remote/work from home, occasional team office work in Burnsville, MN, and on-site event work (within the Twin Cities, domestically, and internationally, including overnight travel). This position is an entry-level position to gain experience and develop skills with the goal of growing into elevated positions and specializing in Attendee Services at metroConnections.

MINIMUM QUALIFICATIONS INCLUDE:

  • Excel in written and verbal communication (English is the primary language).
  • Exhibit strong computer skills; proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint, OneDrive).
  • Technology literate with a passion for learning new things; ability to learn new software quickly.
  • Ability to work well with a team – both as the lead and in a support role.
  • Possess strong leadership skills and an outgoing personality.
  • Ability to manage many details while maintaining big-picture thinking.
  • Ability to multi-task efficiently, learn quickly and provide detailed work.
  • Ability to provide excellent customer service via email, on the phone and in-person.
  • Willingness to take direction from multiple managers or team members, as well as having a good understanding of with whom to advise/consult in the event of conflicting direction
  • Ability to be on your feet for long periods of time while executing programs on site.

  • Access to reliable transportation.
  • Willingness to work evening and weekend hours while executing programs on site.
  • Willingness to travel for multiple days at a time up to 20% for on-site program operations.

Responsibilities

POSITION RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Work collaboratively with all service teams within metroConnections.
  • Participate in all aspects of metroConnections where appropriate/when assigned.
  • Support all types of Attendee Services and coordinate various conference logistics as needed, including but not limited to the following: Websites & Virtual Portals, Registration Management, Housing Management, Mobile Apps, Name Badges, event reporting and data management.
  • Manage and meet all timelines and deadlines on assigned projects.
  • Work collaboratively with the Attendee Technology team to provide the client with a quality product.
  • Support or Lead the Coordination Phase for assigned In-Person projects, ensuring Attendee Services are completed within scope and budget while exceeding client expectations: guide clients through the build of conference websites, registration forms and/or other Attendee Services; provide clients with best practice solutions in all areas of Attendee Services for their program/event; serve as a liaison between the client and hotel, managing room block, rooming lists, handling all billing and other room issues, when needed; coordinate with suppliers and vendors; provide excellent service to attendees during the registration process, via email and over the phone; prepare reports for both internal and external use; prepare on-site materials.
  • Participate in on-site management during the On-Site Execution Phase of assigned projects: serve as support or lead contact for client, internal team members, vendors, venues related to Attendee Services aspects of program; work on-site at registration desks and at other onsite-function as needed; provide on-site, in-person service to conference attendees; provide email support to virtual conference attendees.
  • On-site responsibilities are held within the Twin Cities metro area and throughout the country/internationally. The candidate must have experience travelling domestically and must be willing and able to travel.
  • Support or lead the Post-Event Follow-Up Phase of assigned projects: inventory supplies, update supplier information; compile and share debrief notes; communicate learning experiences to internal teams; finalize financial details with client and internal Accounting team.
  • Support or lead efforts to enhance and further develop the processes and service offerings at metroConnections, especially in the areas of Attendee Services.
