The Conference Planner/One-on-One Meetings serves as the primary owner of Gartner’s Analyst One-on-One meeting program, delivering a seamless and high-quality experience for conference attendees. This role is responsible for end-to-end coordination of Analyst engagements, including scheduling, calendar management, stakeholder alignment, and customer care, ensuring a best-in-class attendee experience. This position primarily supports the EMEA conference portfolio, with flexibility to assist across other regions as needed. Key Responsibilities Own and manage the end-to-end Analyst One-on-One booking process across assigned conferences Deliver an exceptional attendee experience for all clients engaging in Analyst meetings Configure and manage the online scheduling platform, ensuring agendas are accurate and aligned with program and content teams Conduct ongoing capacity planning to optimize Analyst availability and utilization Partner with Conference Operations to plan and manage space requirements for One-on-One sessions Manage shared mailboxes, ensuring timely and professional responses to all internal and external inquiries Collaborate with Gartner Research to ensure all bookings are aligned with client needs and Analyst expertise Travel to onsite conferences to manage the scheduling desk, attendee check-in, and live meeting coordination Act as the primary point of contact for Analyst care, both pre-conference and onsite Build strong relationships with internal stakeholders and external clients, providing guidance and training on scheduling tools and processes Communicate effectively across stakeholders to ensure alignment and smooth program execution Support the production of Analyst bio materials in partnership with Marketing and Communications Conduct post-conference reporting and analysis to drive continuous improvement Ensure adherence to financial and expense management guidelines Expected Outcomes Delivery of a seamless, high-quality client experience Strong attendee satisfaction and retention Efficient and scalable global processes across conferences Effective collaboration with internal teams and external partners Achievement of operational and financial targets Timely response and resolution of all stakeholder queries Key Relationships Internal Stakeholders: Conference Production (Logistics, Content, CES, BTI, Program Management), Sales, Service, and other business units External Stakeholders: Conference attendees and regional conference partners Professional Experience: Between 1-3 years working in a corporate or professional services environment Strong organizational, stakeholder management, and customer service skills preferred #LI-NO1 Who are we?
