The Conference Services Manager serves as the primary liaison between hotel operations and group clients once the sales process is complete. This role is responsible for planning, coordinating, and executing all aspects of group meetings, conferences, and events to ensure seamless delivery and exceptional guest satisfaction. The CSM works closely with hotel departments including Catering, Banquets, Culinary, Front Office, Housekeeping, Audio-Visual, and Accounting to deliver events that meet contractual requirements and exceed client expectations. Key Responsibilities (some but not all): Event Planning & Client Management Act as the primary point of contact for assigned group and conference clients from turnover through event departure. Review and understand group contracts, ensuring all details are accurately executed. Conduct pre-event planning meetings with clients to finalize event agendas, room set-ups, menus, audiovisual needs, and special requests. Prepare and distribute detailed BEOs (Banquet Event Orders) and internal event documentation. Conduct site inspections and client walk-throughs as needed. Event Execution & Operations Coordination Oversee on-site execution of meetings and events, ensuring timing, room setups, and service levels meet brand and client standards. Serve as on-site problem-solver during events, responding quickly and professionally to guest needs or unforeseen issues. Coordinate with Banquets, Culinary, Engineering, Housekeeping, Front Desk, and AV teams to ensure seamless operations. Manage room moves, last-minute changes, and special accommodations. Financial & Administrative Responsibilities Ensure all event billing is accurate; review and reconcile final invoices. Monitor event expenses and ensure adherence to contracted terms. Assist with forecasting and reporting event activity as requested by leadership. Maintain accurate client files within the property sales and event management systems. Guest Experience & Relationship Management Deliver a consistently high level of service aligned with hotel brand standards. Anticipate client needs and proactively recommend solutions or enhancements. Build long-term relationships with repeat business clients, meeting planners, and internal partners. Solicit post-event feedback and address follow-up needs or service recovery when required. Team & Brand Collaboration Participate in weekly meetings, event turnover meetings, and operational briefings. Support department goals related to guest satisfaction, revenue optimization, and operational excellence. Comply with hotel policies, safety standards, and labor regulations. Requirements You've got this, if you bring: Bachelor’s degree in Hospitality Management, Business, or related field preferred. Minimum of 2–4 years of experience in conference services, events, catering, or hotel operations. Experience working in a full-service hotel or conference center strongly preferred. Strong organizational and time-management skills with the ability to manage multiple events simultaneously. Exceptional written and verbal communication skills. Proven ability to work cross-functionally in a fast-paced environment. High level of professionalism, discretion, and guest-service orientation.
