OVERVIEW

I operate a small IT and procurement business, and my immediate need is someone who can take complete ownership of client billing. The job starts with one priority—producing accurate invoices and associating them with the correct purchased items. From there, the role can expand into more advanced work like procurement cost tracking, customs/tariff reconciliation, logistics coordination with our private couriers and commercial partners (DHL, FedEx, UPS), and CBSA documentation.
The work is flexible, the pay is based on capability, and the right person will be valued for efficiency, accuracy, and adaptability.

REQUIRED SKILLS & EXPERIENCE

  • Proven experience with QuickBooks Online—this is not a “learn on the job” role.
  • Ability to associate expenses to billables, create invoices, work with estimates, and generate purchase orders without step-by-step guidance.
  • Experience in procurement, particularly in tying expenses and landed costs to invoices.
  • Skilled at interpreting information from varied sources and formatting it into accurate, professional billing entries.
  • Reliable, consistent, and capable of delivering what you say you can do.

Responsibilities

KEY RESPONSIBILITIES

  • Prepare and send invoices in QuickBooks Online following our established process.
  • Match invoices to associated purchases, including imported goods.
  • Compile all expenses tied to a sale for accurate Cost of Goods Sold entries, ensuring P&L reporting is correct.
  • Work from dynamic inputs such as work notes, product search results, supplier data, and technical service details—summarizing them clearly for client-facing invoices.
  • Understand that we don’t carry inventory; most items are custom orders, obsolete replacements, or unique services requiring accurate and professional descriptions.
  • Maintain precision in all billing work—errors are costly and unacceptable.
  • Communicate promptly when clarification is needed.
  • Work independently and meet agreed deadlines without reminders.
