Description
Description About Us At Kaas Wilson Architects, we believe that great design doesn’t stop when the drawings are issued. Our work is built on collaboration, technical clarity, and a deep respect for the construction process. We design across multifamily projects and value the people who help translate our ideas into well-built spaces. We’re looking for a Construction Administration Assistant to support our architecture team through the construction phase — someone who’s detail-oriented, communicative, and curious about how architecture becomes reality. About the Role This position supports our Construction Administration (CA) team by helping manage coordination between architects, consultants, and contractors during active construction. This is not a generic project management role. The right candidate brings hands-on familiarity with construction documents, RFIs, submittals, and field coordination — someone who understands how details on paper translate into materials, assemblies, and built form. You’ll work alongside Project Architects and CA Project Managers to ensure that projects are executed according to design intent, technical standards, and client expectations. Direct Supervisor: CA Senior Project Manager or CA Project Manager Direct Report: None Key Responsibilities: Track and assist in reviewing RFIs, submittals, and change orders. Support field observation visits, documenting progress and issues. Maintain accurate as-built documentation and drawing updates. Coordinate communication between project team members and contractors. Help manage project logs and CA documentation workflows. Participate in quality control efforts during the construction phase. Applies a broad understanding of the following building systems during document review: mechanical, electrical, plumbing, fire suppression, storm sewer, sanitary sewer, security, and low voltage. Reference and assists in the research, maintenance, and application of current codes and resolve issues with inspectors and other authorities having jurisdiction. Assists with the preparation of plans and specifications, reports, and other deliverables. Assists in ordering construction materials and samples when needed. Performs other related duties as assigned. Requirements Qualifications: 1–3 years of experience in architecture, construction coordination, or building technology. Understanding of construction drawings, detailing, and specifications. Familiarity with RFI and submittal processes. Strong communication, organization, and time-management skills. Proficiency in Revit, Bluebeam, PlanGrid, Submittal Platforms, and Microsoft Office or similar tools. Background in architecture, engineering, or construction-related fields preferred. (We welcome candidates with general contracting experience who understand architectural documentation and wish to work within a design environment.) Who You Are You’re curious about how things get built and enjoy solving problems in the field. You’re organized, attentive to detail, and can manage multiple moving parts. You communicate clearly — with both designers and builders. Physical Requirements: Must be able to traverse and inspect all areas of jobsite in all types of weather; this may include walking, climbing, reaching, bending, crawling, or stretching. Must be able to lift up to 50 pounds at a time. May require travel. Exposure to characteristic construction site dangers. Must be on-call to address delays, emergencies, bad weather, and other issues at the job site.
Responsibilities
The Construction Administration Assistant supports the CA team by managing coordination between architects, consultants, and contractors during construction. Key tasks include tracking RFIs, maintaining documentation, and participating in quality control efforts.
