Are you experienced in managing the administrative side of large-scale construction projects? Join PavCo as a Construction Project Administrator and play a critical role in supporting facility infrastructure upgrades.
This full-time permanent position located mainly at BC Place focuses on document control, issue tracking, data entry, and monthly report preparation to ensure the smooth coordination of project operations. Reporting to the Contracts Manager the Administrator will contribute to the success of impactful initiatives.
We’re seeking a candidate with at least two years of experience in Canadian-based infrastructure projects, with expertise in project document control, schedule updates, cost tracking, data management, and team calendar coordination. A key responsibility is overseeing document control and retention processes for various upcoming events ensure seamless project close-outs.
This role offers the opportunity to apply your administrative and project management skills in a fast-paced environment while contributing to major infrastructure improvements.

Responsibilities
  • Maintain and organize all project documentation, including, drawings, specifications, and other related data as per organizational data retention policy.
  • Assist with the management of both electronic and physical project files, ensuring accessibility and organization.
  • Track project issues, and action items throughout the project lifecycle.
  • Monitor the resolution of issues and document the status of actions taken, ensuring timely closure.
  • Provide regular updates to project teams on the status of outstanding issues and their resolution.
  • Enter and maintain accurate project data in project management systems or tracking tools.
  • Assist in the preparation of regular project reports, including progress, budget tracking, and milestone updates.
  • Provide administrative support, including preparing meeting agendas, recording meeting minutes, and tracking follow-up actions.
  • Support Contract Manager with audit preparations and ensure the availability of required documentation for review by stakeholders or regulatory bodies.
  • Maintain and update project-related contact lists, vendor directories, and other reference materials.
  • Understand the procure to pay process and issues purchase order and requisitions as needed. Assists with invoicing as needed.
  • Close out projects and ensure all invoices and transition activities are complete.
