Job Summary:
We are seeking a highly organized and detail-oriented Construction Project Administrator to join our team. The Project Administrator will be responsible for managing day-to-day administrative tasks, supporting various departments, and ensuring the smooth operation of our office. This is a vital role that requires strong organizational skills, excellent communication abilities, and the ability to multitask effectively.
Duties:
- Answering and directing phone calls and emails, taking messages when necessary.
- Following-up on quotes & outstanding invoices.
- Track permitting requirements and manage BC One Call requests.
- Managing office supplies and inventory, placing orders as needed.
- Coordinating and scheduling meetings, appointments, and travel arrangements.
- Assisting with vendor management, including maintaining relationships and negotiating contracts.
- Assisting with payroll processing and maintaining employee records.
- Managing and organizing files, both physical and digital.
- Coordinating employee onboarding.
- Assisting with budgeting and expense tracking.
Qualifications:
- Proven experience in an office or administrative role.
- Proficiency in QuickBooks and Sage accounting software.
- Familiarity with phone systems and other office equipment.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Strong organizational and time-management abilities with keen attention to detail.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
