JOB OVERVIEW

We are seeking a highly skilled and motivated Construction Project Coordinator to play a key role in supporting our project management teams throughout all phases of construction. You will be responsible for ensuring the smooth coordination and organization of documentation, communication, and processes to help drive project success.
The ideal candidate will possess excellent communication skills, attention to detail, and the ability to work collaboratively with various stakeholders and team members to ensure project success.

QUALIFICATIONS:

  • Minimum of 3 years of experience in construction project administration.
  • Post-secondary education in administration, business, or accounting is an asset.
  • Strong written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Excellent analytical and organizational skills.
  • Ability to manage time effectively, prioritize tasks, and work with a service-oriented approach.
  • Commitment to maintaining respectful and collaborative relationships with all stakeholders and team members.

Responsibilities

Pre-Construction

  • Distribute tender documents and manage the receipt of trade pricing.
  • Prepare letters of intent and contract documents as directed by Project Managers.
  • Set up project-specific trade accounts and assist with administrative site start-up.
  • Set up project folders and tracking spreadsheets

Construction

  • Track and manage all Construction Contract Administration (CCA) documents, including submittals, RFIs, CCNs, Change Orders, Purchase Orders, and Site Instructions.
  • Prepare and monitor trade payment applications, ensuring all documentation is complete.
  • Release monthly payments via cheque or EFTs with Project Manager approvals.
  • Update and maintain project drawings with issued site instructions and change orders.
  • Minute meetings as required.
  • Communicate effectively with clients, trades, site personnel, and consultants.

Post-Construction

  • Collect and prepare maintenance manual documentation and create Architectural Maintenance Manual packages.
  • Assist in project closeout and warranty administration.

Logistics and Office Management

  • Coordinate project-related travel, accommodation, and events.
  • Support office management duties, including but not limited to: organizing common areas, ordering supplies, and assisting in planning office events.
