Responsibilities

MAIN DUTIES AND RESPONSIBILITIES

  1. Greet patients and visitors to the practice and deal with general enquires and complaints
  2. Book in patients and visitors inline with practice appointments and visitors procedures.
  3. Ensure computerised appointment system is up-to-date.
  4. Process Klinik Forms to book and cancel patient appointments in line with practice policy and as directed by Klinik Triaging Team.
  5. Ensure appointments usage is maximised to prevent appointment wastage.
  6. Inform line manager/Triaging GP if Klinik forms are unable to be placed or appointments are not able to be filled.
  7. Keep abreast of appointment availability on SystmOne, Improved Access, Push Doctor, use PharmaReferral.
  8. Answering incoming telephone calls, ensuring calls are processed appropriately using relevant form/booking process.
  9. Provide advice to less experience colleagues
  10. Ensure outstanding enquiries are explained and handed over to the next shift as necessary
  11. Provide medical information to patients using practice guidelines
  12. Monitoring of stationery and other supplies
  13. Keep Contact Centre area clean and general housekeeping duties
  14. Opening/ locking up of premises and maintaining security in accordance with practice policy
  15. Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes) in an accurate and secure manner.
  16. Work safely at all times in accordance with Legislative requirements and Practice Policy and Procedures.
  17. Working across multi sites will be required
  18. Keep up to date with current training via Relias
  19. Stay abreast of all changes to clinical systems such as Klinik
  20. Support and educate patients who require assistant with the Klinik form
  21. Support the GP’s through Triage, monitoring the available appointments to ensure access is maximised.
