Nau mai haere mai ki tā mātou whānau | Welcome to our Fulton Hogan Family We’re looking for an organised and proactive Contract Administrator to support our contract and operations teams on a major infrastructure maintenance contract. You’ll sit at the heart of the team, helping to keep our reporting, documentation and coordination activities on track so we can meet our contractual and performance obligations. This role would suit someone who enjoys working with data and documents, can juggle competing priorities, and is comfortable working alongside engineers, supervisors and managers in a fast‑paced environment. In addition to the above you will: Deliver comprehensive administrative support to the contract team, ensuring smooth day‑to‑day operations and managing a wide range of office and coordination tasks. Maintain robust and well‑structured filing systems covering QA records, claims documentation, approvals, and all critical contract information to ensure accuracy, accessibility, and compliance. Oversee document control processes, managing version updates for plans, procedures, and forms and ensuring timely distribution to staff and subcontractors. Support key contract functions by contributing to monthly reporting, audit preparation, asset information submissions, and the assembly of detailed claim evidence and documentation packs. Perform accurate data validation and entry across contract management systems including AWM, JDE, and related platforms to maintain data integrity. Coordinate workshops, training sessions, and operational meetings, capturing minutes and action tracking, managing customer enquiries, and maintaining essential registers such as training, PPE, and incident records. We’re looking for someone with: Strong organisational skills, with the ability to manage multiple tasks and deadlines. High attention to detail and accuracy in data entry, reporting and document preparation. Good written and verbal communication skills, including the ability to produce clear reports and meeting notes. Confidence using spreadsheets, databases and other reporting tools. Ability to work collaboratively with technical, operational and management staff. A proactive, “can‑do” attitude and an interest in continuous improvement. Experience in an engineering, construction or infrastructure environment would be an advantage, but is not essential if you have strong admin and reporting skills and are keen to learn.
