Description This intermediate-level role is responsible for the administration and management of moderately complex contracts. The position ensures compliance with contractual obligations, supports business teams with contract interpretation, and contributes to effective contract performance. The Contract Administrator defines requirements, generates and reviews proposals, negotiates terms, monitors contract performance, and ensures adherence to company policies and applicable laws. The role will be focused mainly on military aftermarket customers, including the U.S. government and foreign military, however, will also be responsible for administrating repair/overhaul/warranty contracts in support of our in-house repair station (commercial and military customers) Experience and knowledge of government contracting, FAR/DFARS, and export compliance is a plus. Key Deliverables Contract Drafting, Review & Negotiation · Draft, review, and negotiate moderately complex agreements. · Negotiate price, terms, conditions, delivery schedules, and other business issues in alignment with legal requirements and company policies. · Ensure contract provisions are clear, enforceable, and compliant with internal standards. Compliance & Risk Management · Ensure adherence to company policies, contractual obligations, and applicable laws. · Identify risks, escalate as needed, and recommend mitigation strategies. · Investigate and resolve customer claims or complaints in coordination with technical and quality teams. Stakeholder & Customer Support · Provide guidance to internal stakeholders on contract interpretation and obligations. · Act as the primary point of contact with customers on assigned contracts, including participation in customer presentations. · Support customer communications related to purchase orders (POs), delivery schedules, and portal management. · Manage the lifecycle of a repair/overhaul including but not limited to creating RMA/CRO for the return, quoting, processing customer order and exchanges, and creating shop orders. Contract & Order Administration · Administer specialized and/or major contracts, including those under Basic Contract Agreements and Long-Term Agreements. · Track deliverables, deadlines, contract renewals, and overall performance. · Perform order entry, schedule changes, and creation of demand plans as part of the Sales & Operations Planning (S&OP) process. · Become proficient in performing the beforementioned tasks in the company ERP system Proposal Development & Bid Management · Develop technically and commercially compliant proposal packages for diverse and complex customer requirements. · Evaluate performance requirements, delivery schedules, and cost estimates. · Coordinate the bid process by gathering input across functions and developing responses to RFPs. · Prepare and submit complex proposals that meet customer and business expectations. Analysis & Continuous Improvement · Analyze contract and business performance data to recommend actions or improvements. · Conduct comparative analyses on proposed changes in methods, materials, or processes. · Provide insights to improve efficiency, reduce risks, and enhance customer satisfaction. Requirements Skills, Knowledge & Experience · Strong understanding of contract terms, legal concepts, and risk management principles. · Skilled in contract negotiation, pricing strategy, and stakeholder communication. · Proficiency with contract management systems and related tools. · Demonstrated ability to generate customer pricing while adhering to company pricing approval policies and strategies. · Experience with government contracting, including FAR/DFARS regulations and export compliance, preferred. · Strong analytical, problem-solving, and decision-making skills with the ability to interpret data and recommend actions. · Ability to work independently, escalating issues only when needed · Work in a dynamic environment with priorities changing regularly · Strong customer focus with the ability to communicate quickly and effectively · Proficient in excel Education & Experience · Bachelor’s degree required. · 2–4 years of experience in contract administration, negotiation, or related functions. · Scope of impact: project-level responsibilities and peer group collaboration. · Previous experience within government systems (DIBBS, PIEE, WAWF, etc) is a plus.
