EXPERIENCE FOR SUCCESS:

  • 1-2+ years of experience in contract administration, vendor management, or a related field (property management or real estate industry experience preferred)
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Understanding of contract tracking systems, spreadsheets, and document management
  • Excellent communication skills for collaborating across departments and with external vendors with attention to detail and commitment to compliance and accuracy
  • Experience with JDE and Bottomline is a plus
Responsibilities
  • Prepare and process contracts, work agreements, change orders, and related documentation for residential property management projects
  • Support Accounts Payable by processing vendor invoices in JDE and Bottomline
  • Attend bid walks and capital walks with Directors and vendors to align expectations and best practices
  • Set up and manage vendor records, ensuring all licensing, insurance, and compliance requirements are current
  • Maintain a centralized contract management system to track key dates, renewals, and compliance obligations
  • Review contract terms to ensure alignment with company goals and mitigate risk
  • Coordinate contract modifications, extensions, and terminations as needed
  • Monitor contract performance, address non-compliance issues, and track project deliverables
  • Communicate with team members to confirm work completion before payment
  • Partner with the insurance department to maintain accurate vendor certificates, endorsements, and master agreements
  • Keep accurate status logs, spreadsheets, and orderly vendor files for easy reference
  • Assist with departmental administrative functions and identify process improvement opportunities
