THE ROLE The Contracts Administrator supports the full lifecycle of customer and vendor agreements while ensuring accurate, timely billing across our dealership operations. Based at Swickard's Las Vegas corporate headquarters — the operational hub for 50+ dealerships — this role is central to the financial integrity of a rapidly scaling organization. You'll keep contract and billing data clean, compliant, and actionable for the leaders driving our growth. WHAT YOU'LL DO • Review and process vehicle sales and vendor contracts for accuracy, completeness, and regulatory compliance • Draft, coordinate, and execute customer, supplier, and operational agreements • Maintain organized, auditable contract records within dealership and contract management systems • Monitor contract terms, amendments, obligations, and key milestone dates • Prepare and issue accurate, timely invoices for vehicle sales, parts, service, and other billable activities • Track payments, reconcile billing activity, and resolve discrepancies in customer account records • Process billing adjustments, credits, and refunds in accordance with company policy • Ensure contract and billing documentation is properly coded to support financial reporting • Generate reports on contract status, billing activity, and key performance indicators • Identify opportunities to improve workflows and support automation where it drives efficiency and accuracy • Identify opportunities to improve workflows and support automation where it drives efficiency and accuracy WHAT YOU BRING Required • High school diploma or GED • 1+ year of accounting experience • Working knowledge of basic accounting principles and billing processes • Understanding of contract documentation, terms, and compliance requirements • Proficiency in Microsoft Office Suite, particularly Excel • Strong attention to detail, organizational skills, and ability to manage multiple priorities • Effective communication and interpersonal skills with the ability to collaborate across departments Preferred • 3+ years of accounting experience • Experience with dealership management systems, ERP platforms, or contract management software • Strong analytical skills with the ability to interpret operational data and identify trends BENEFITS & PERKS • Medical, dental, and vision insurance • 401(k) • Paid time off and holidays • Employee vehicle purchase and service discounts • Pet insurance • Mental health program and benefits • Career growth within one of the fastest-growing dealer groups in the country If you take pride in getting the details right, you'll thrive here.
