Vortex Doors, America’s highest quality and most customer-centric commercial and industrial door installation & repair company, is seeking a dedicated and customer-focused individual to join our team as a Contract Administrator in our Tampa, FL location. This position will be reporting to Operations Manager.
As a Contract Administrator, your primary responsibility will be to assist with the administration of the various agreements entered into by Vortex Industries to ensure the compliance with the terms and conditions of the contracts, internal risk, as well as government regulations.
This position is ideal for a motivated and self-starting individual who thrives in a fast-paced, result-oriented environment.

REQUIRED SKILLS & QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, qualifications, competencies, abilities, and any physical demands if required.

  • Prepare, review, and analyze contracts, ensuring alignment with company policies, legal requirements, and industry standards.
  • Manage contract lifecycle activities from initiation to close-out, including amendments, extensions, and renewals. Identify contractual challenges/deviations and identify business and process implications.
  • Facilitate the completion of customer prequalification forms, gathering and verifying necessary documentation.
  • Maintain a database of all contracts, track key dates, and manage contract renewals and amendments.
  • Collaborate with the service and operations teams to ensure smooth delivery of services and customer satisfaction.
  • Ensure invoices align with contract terms and policies before processing payments.
  • Process and review contract bond requests.
  • Maintain accurate contract records and documentation, preparing reports and summaries for management review and audits.

Requirements:

REQUIRED EXPERIENCE/EDUCATION/TRAINING/CERTIFICATIONS

To perform this job successfully, an individual must possess the outlined experience level, education, training, minimum years of experience, product, or industry knowledge plus any certifications to be considered.

  • A minimum of 3 years of experience and proven success in contract management, legal, procurement, construction, or related fields.
  • Strong analytical and problem-solving skills, with the ability to assess risks and recommend appropriate actions.
  • Excellent communication, and interpersonal skills.
  • Attention to detail with the ability to manage multiple projects and deadlines.
  • Proficiency in MS Office Suite.
  • Experience within the construction industry is desired.
