JOB DESCRIPTION

As a member of the Exxel TEAM, the Contract/Insurance Administrator is responsible for assisting and supporting the accounting and project teams by preparing and executing subcontracts and insurance verification and tracking. This position will require you to interact and work well with various teams and will need to be able to handle multitasking efficiently as well as showing a high degree of attention to detail.

JOB REQUIREMENTS

  • Minimum associate’s degree or 4 years working in the construction industry, preferably for a general contractor or subcontractor
  • Technically proficient in Microsoft Office, specifically Word, Excel and Outlook and comfortable learning new programs
  • Experience with sending documents through DocuSign
  • Experience with contract administration
  • Prefer experience with AIA documents and Catina
  • Experience with Vista by Viewpoint a plus
  • Knowledge of basic insurance verbiage, preferably related to construction industry
  • Knowledge or experience with accounting in the construction industry is a plus
  • Enjoys working with others and being part of a team, ability to work as a key team member, learning and supporting others’ functions
  • Professional customer service attitude with outside vendors and striving to constantly develop enduring relationships
  • Excellent time management and organizational skills to accomplish tasks efficiently
  • Strong moral ethics, always doing the right thing when no one is looking

Responsibilities
  • Receive contract set up forms from project managers and review for errors
  • Create subcontracts in MS Word via mail merge
  • Enter subcontracts into DocuSign for execution
  • Enter subcontracts into our accounting system
  • Verify subcontractors are valid to work, verify contractor’s license is current and L&I account in good standing
  • Review owner contracts for project specific information and update the subcontract set up forms for each new project
  • Review certificates of insurance from subcontractors and verify the limits meet the project requirements
  • Follow up with subcontractors and vendors for missing endorsements and work with executives if certificate of insurance does not meet the requirements for the project
  • Record expiration of insurance certificates for both subcontractors and vendors and reach out for new certificates if expired
  • Coordinate with OCIP administrators and subcontractors for successful enrollment in OCIP programs and assist in close out
  • Work with executives during contract negotiations and assist with final upload of AIA contract and send through DocuSign for execution
  • Additional tasks as needed to support administrative or project teams, including assisting with Accounts Payable when needed
