ABOUT YOU:

We’re seeking a highly skilled, commercially minded professional to provide effective administrative support for contract management across project works. You’ll bring at least three years’ experience in contract and project administration—preferably within construction—and a strong understanding of AS4300 contracts, project bank accounts, and training plans.
With excellent organisational and time management skills, you manage competing deadlines without sacrificing attention to detail. Your clear written and verbal communication enables confident collaboration with clients, contractors, and internal teams.
Proactive and results-driven, you take ownership of your responsibilities to ensure contractual compliance and help drive seamless project delivery from start to finish.

Responsibilities

ABOUT THE ROLE

We’re looking for an experienced Contracts Administrator to join our team and play a key role in supporting the successful delivery of commercial and mining sector projects.
This role will be based at our Para Hills office, where you’ll work in a collaborative environment with opportunities to develop your skills alongside a market leader in modular construction.
In this position, you’ll be responsible for end-to-end contract and subcontract administration, project documentation, reporting, and financial tracking. You’ll work closely with Project and Construction Managers to ensure all project activities are running smoothly on time, and in line with compliance requirements.
This is a great opportunity for someone with strong organisational skills, attention to detail, and a solid understanding of contract administration to step into a role where your impact will be seen across multiple projects.

The key responsibilities of the role are:

  • Manage head contracts and subcontracts, including claims, variations, deliverables, and notices (EOTs, latent conditions, etc.)
  • Coordinate key project start-up activities such as insurances, council permits, and bank account setup
  • Oversee project invoicing, progress claims, and ensure compliance with project bank account requirements
  • Compile handover documentation and support the certification and project close-out process
  • Maintain accurate project records, reports, and registers while supporting cost control and forecasting
  • Support Project and Construction Managers by tracking timelines, deliverables, and performance
  • Attend and minute internal and external meetings; manage JCR setup and documentation workflows
  • Build strong stakeholder relationships and ensure compliance with internal processes and policies

TO BE SUCCESSFUL IN THIS ROLE YOU WILL DEMONSTRATE:

  • Min 3 years’ experience in contract/project administration, preferably in the construction or manufacturing sector, with demonstrated ability to oversee the management of multiple projects at varying stages through to successful completion within time and budget.
  • Experience on commercial and mining projects is advantageous
  • Specific experience required in administering a suite of contracts, managing project bank accounts and training plans.
  • Excellent written and verbal communication skills.
  • Time management skills with an ability to work under pressure and plan and prioritise workloads to meet deadlines.
  • Advanced clerical and administrative skills including sound analytical skills and accurate record keeping.
  • Intermediate computer literacy including Microsoft suite of programs (Word, Outlook, Excel). Experience in Navision would be an advantage.
  • Commitment to the efficient and effective delivery of quality customer service.
  • A Degree in Construction Management, Quantity Surveying, or other relevant qualification in Administration would be an advantage but is not essential.
