CONTRACTS & SYSTEMS OPERATIONS ASSOCIATE

Pacific Surgical Holdings Ltd. is a Canadian company operating ten divisions in the medical device products and services industry: Keir Surgical, Nightingale Medical Supplies, Galen Medical, Mobile Instrument Service & Repair, ScopeCare, Mastel Surgical, OSIS Medical, Conkin Surgical Instruments, BFW Inc., and RICA Surgical.
We are currently seeking a Contracts & Systems Operations Coordinator to join our team in Spring 2025. This is a full-time salaried role based in our Calgary or Vancouver office, with a possible hybrid work arrangement available after six months.
The Contracts & Systems Operations Associate will report to the Contracts & Systems Operations Manager and will work closely with the Contracts & Systems Operations Specialist, Pacific Surgical Division Managers and other members of the divisional sales teams.

QUALIFICATIONS & SKILLS:

  • Post-secondary education
  • Proficiency in MS Office Suite with intermediate/advanced MS Excel knowledge
  • Excellent time management and ability to multi-task
  • Excellent attention to detail
  • Previous contract management experience preferred (but not required)
  • Bilingual (French/English) communication skills preferred (but not required)
Responsibilities
  • Monitor bid and tender websites for opportunities relevant to Pacific Surgical divisions
  • Review RFPs and tender documents, identifying key information and requirements
  • Maintain a centralized library of commonly requested RFP answers and documentation
  • Assist in drafting and formatting responses to RFPs using established templates
  • Organize, update, and audit contract management databases across divisions
  • Collaborate with the Contracts & Systems Operations Specialist on contract renewals, extensions, and terminations
  • Assist Contracts & Systems Operations Specialist and Manager with implementing new software and operating system initiatives
  • Assist with management of CRM system
  • Support other administrative and coordination tasks as assigned by senior management
  • Uphold and represent Pacific Surgical’s values and ethics across all interactions
