JOB DESCRIPTION SUMMARY

The Convention Associate will report to the Convention Manager and will be responsible for managing all aspects for our regional meeting program as well as provide support for some of the smaller national conventions. Responsible for packing and shipping products and literature for shows, managing our fulfillment site as it relates to conference materials, and assist with onsite conference management. This role will also help with some administrative duties for the department.

EDUCATION/EXPERIENCE:

  • Bachelor’s Degree in Marketing, Communications, or Business Administration required
  • One year of meeting, or large project, coordination experience preferred.
  • Strong attention to details and high level of professionalism.
  • Good judgment and maturity with a strong work ethic.
  • Must be willing to travel and work on weekends as needed.
  • 25%-30% travel required.

SKILLS:

  • Ability to handle multiple projects simultaneously while meeting tight deadlines
  • Proficiency in Microsoft Office Suite required (Outlook, Word, Excel, PowerPoint)
  • Strong organizational skills
  • Ability to interact professionally with all levels of management and outside vendors
  • Detail oriented with excellent follow-through skills required
  • Ability to make decisions independently
  • Excellent written and verbal communication skills
Responsibilities
  • Assist in the planning and execution of regional meetings and manage our smaller national conventions
  • Maintain master calendar of all upcoming conventions/trade shows/events and ensure that deadlines are met
  • Communicate with sales force regarding details of each convention/trade show/event and distribute necessary forms/materials
  • Track meeting spend monthly and maintain spreadsheets
  • Maintain the fulfillment site for regional meeting materials. Approve sales rep orders, manage inventory levels, and track the return process
  • Coordinate product, literature, and capital equipment shipments as needed for each regional and national conference
  • Process all expense reports related to conventions/trade shows/eventsCoordinate hotel room block reservations and conference registration badges
  • Work closely with exhibit house on our portable booth program
