The Notary Group is a leading provider of notarial services in BC. Our head office is located in Kelowna, BC.
Our conveyancing team helps clients buy, sell and refinance property throughout BC.

SUMMARY

We are seeking a skilled conveyancing clerk to join our team. You will play a vital part in ensuring files are finalized and properly closed after completion day.

YOUR SKILLS

This is a job that requires a very good mind for math and logic. You will not be preparing trust records, but you will need to be able to read them in order to understand what is happening. It will be important for you to be able to:

  • understand the basics of conveyancing processes, including undertakings
  • be very organized, and able to use computer programs to assist you in keeping organized and reporting to others about the state of your work
  • be good at math
  • be able to clearly explain the information on trust records to clients and other staff members
  • be able to work with database programs, such as Lawyer Done Deal (or similar conveyancing software) and various online portals and platforms for lenders and others
  • be proficient in office, document management and legal practice software including Microsoft Office, Excel, Outlook, Sharepoint, Clio and Quickbooks
  • be able to work independently as well as part of a team
  • have very strong computer skills, including typing (minimum 50 wpm), using keyboard shortcuts, navigating multiple programs without a mouse, etc.

This position is in person, at our Kelowna office (1912 Enterprise Way). Office hours are 8:30-4:30 Monday to Friday with an hour break at noon for lunch (35 hour work week). We are a 2SLGBTQ+ friendly workplace.

Responsibilities

In this position, you will be responsible for:

  • reviewing undertakings and ensuring compliance with them
  • reviewing trust records to ensure that all funds have been accounted for and properly distributed
  • answering questions of clients with respect to holdbacks, uncashed cheques and other outstanding items
  • working with the accounting team to ensure clearance of the trust account for each transaction
  • ensuring original documents are returned to the clients or other appropriate parties
  • ensuring copies of paper documentation are properly scanned into the file and stored
  • ensuring the appropriate destruction of paper materials
  • ensuring tasks assigned for each matter have been properly completed
  • reporting to conveyancers, the comptroller and the managing partner
