REQUIRED QUALIFICATIONS

  • College diploma in a relevant field;
  • Minimum of one (1) year of experience in a warehouse environment, or an equivalent combination of training and experience;
  • Experience related to receiving and shipping materials and equipment;
  • Ability to lift and move heavy objects while following safety rules for their handling and transport;
  • Knowledge of inventory management and mail-processing software provided by specialized companies;
  • Fluency in the official languages (French and English), both orally and in writing.
Responsibilities

SUMMARY OF DUTIES

Performs tasks related to receiving and shipping packages, warehouse and inventory management, and DVD orders. Provides administrative support to the team. Handles materials for Accommodations, Archives, the NFB Space and warehouses.

MAJOR RESPONSIBILITIES

  • Receives and verifies incoming goods, ensures they comply with purchase orders, and records the required information in the financial system.
  • Communicates with NFB staff and service providers to coordinate shipping needs and recommend the best value options.
  • Completes the customs documents required for shipping packages outside Canada.
  • Checks the status of undelivered packages and follows up with service providers to expedite delivery.
  • Executes internal and external orders for DVDs and promotional materials while ensuring compliance with NFB standards and the Répertoire des films classés regulations.
  • Ensures materials are safely handled for Accommodations, when moving archival boxes and setting up the NFB Space, and during warehouse maintenance.
  • Responds to requests for materials and supplies from NFB staff and ensures that stocks are replenished when necessary.
  • Records the movement of equipment in the financial system and conducts the annual inventory assessment.
  • Ensures the proper functioning of photocopiers and, if necessary, coordinates service calls to the supplier for all offices.
  • Provides administrative support to the team by performing tasks such as entering data into corporate systems, filling out various forms, updating information on the Intranet, etc.
  • Assists the person responsible for security by performing tasks such as filling out access-card request forms for offices outside Montreal, updating emergency contact lists and NFB emergency protocols on the Intranet, opening and closing elevators in the Montreal office, etc.
  • As needed, participates in the digitization of documents for various NFB departments by preparing documents, validating digitization quality, applying naming conventions and classification according to client needs.
