COORDINATOR, COMMERCIAL ASSETS     JOB SUMMARY : Reporting to the Senior Manager, Commercial Assets, the Commercial Assets Coordinator's main responsibilities are to establish, update and maintain commercial monitoring tools (procedures, policies, revenue tracking, insurance, etc.).  The Commercial Assets Coordinator supports the Commercial Assets Managers in managing their respective portfolios. In this role, they coordinate internal activities, ensure rigorous and structured case management, support project development, and contribute to achieving the business unit’s objectives. To do so, they establish, update, and maintain monitoring tools for commercial tenants and partnerships (administration and monitoring of agreements and revenue, insurance, contractual agreements, etc.). They are also mandated to lead special projects and ensure the smooth execution of tenant operations. MAIN RESPONSIBILITIES  :   Coordination (60%) * Compile data and develop analytical tools (sales, revenue, expenses, etc.) to assess agreement performance; * Follow up with tenants when financial performance analysis reveals significant variances from forecasts or past results; * Manage the billing process (issuance/receipt and accounts receivable tracking via an accounting software) in compliance with agreements; * Provide first-level response to tenant requests and refer second-level cases to Commercial Assets Managers; * Organize meetings with tenants and partners; * Contribute to the development and improvement of departmental processes and tools (guidelines, procedures, etc.); * Coordinate the dissemination and sharing of information between the organization, tenants, and partners; * Place orders, requisitions, and other requests, and ensure proper follow-ups; * Continuously monitor partner visibility on-site and across digital platforms; * Ensure the implementation and compliance of all contractual benefits (visibility, spaces, access, mentions, tickets, etc.); * Work with internal teams and suppliers to ensure deployment aligned with agreements and monitor on-site execution; * Track tenant and partner sales results and compile performance data (reach, impressions, attendance, engagement). Administration and Contract Agreement Follow-up (40%) * Manages the invoicing process (issue/receipt and follow-up of accounts receivable) in accordance with the agreements. Refers cases requiring second-level intervention to active commercial managers; * Compiles data and sets up analysis tools (sales, income, expenses, etc.) useful for evaluating the performance of agreements; * Organises the various tenant meetings * Contributes to the development and improvement of the department's processes and tools; * Coordinates the circulation of information within the Company and with the tenants; * Coordinates orders, requisitions and others, and ensures their follow-up. * Draft and process contracts, agreements, letters, authorizations, reports, correspondence, and meeting minutes; * Ensure compliance with contractual obligations for all parties (tenant/partner and the organization) and conduct necessary corrective follow-ups; * Ensure agreements meet organizational standards and are reviewed and approved according to required authorization levels; * Process information requests, including commercial project submissions; * Perform budget tracking for the department; * File and archive documentation according to applicable standards; * Provide operational continuity when replacing the Event Assets Coordinator, as needed.   EXPERIENCE & KNOWLEDGE REQUIRED :  * 3 years of experience in multi-stakeholder coordination, case management, contract follow-up, and partner/tenant relations * Experience in budget tracking * Experience drafting communications * College diploma * Bilingualism: English (oral interaction level 3 – intermediate), written expression level 4 – advanced * Basic computer skills (Office Suite, SharePoint)   DESIRED SKILLS :  * Excellent customer service * Ability to manage multiple files simultaneously and prioritize effectively * Strong organizational skills * Team spirit * Integrity, rigor, and attention to detail * Strong analytical and synthesis skills * Strong writing skills   SPECIFIC WORKING CONDITIONS : * Dynamic work environment * Medical and dental insurance benefits paid 100% by the employer * Employer contribution to RRSPs equal to 3.75% of salary * 3 weeks of paid annual vacation, starting upon hire * 5 days of paid personal leave/sick bank per year * Free on-site parking (taxable benefit) * Employee assistance program offered by the employer * Discounts and benefits at various merchants in the Old Port * Job type: Full-time, non-union, permanent, Monday to Friday (37.5 hrs/week)                                                                                                                                                              The Company is committed to an employment equity program and invites applications from women, visible minorities, aboriginal peoples and persons with disabilities.  We thank all applicants, but only those selected will be contacted.  The use of the masculine gender is intended to lighten the text and make it easier to read.
