Purpose and General Description The Coordinator, Gift and Estate Administration is a key member of the Planned Giving team. Under the leadership of the Director, Planned Giving, the incumbent supports the daily administration of estate distributions and major gifts. This role requires exceptional attention to detail and strong communication skills to liaise effectively with lawyers, estate executors and trustees, financial planners and wealth managers. KEY RESPONSIBILITIES: Estate Administration:  * Manage approximately 100 active estate files. * Liaise with estate executors, trustees, legal and financial professionals to review and respond promptly to estate notifications, updates, and distributions, ensuring compliance with all requirements. * Correspond with estate representatives by preparing thank-you letters, distribution documentation, and tax receipts * Exercise due diligence when reviewing statements of account, notices, and releases; identify potential complexities and keep the Director, Planned Giving informed. * Identify complex or contested estates and collaborate with the Director, Planned Giving, and other charitable beneficiaries to assist in resolution. * Accurately create and maintain estate records, proposals, constituent coding, and actions in Raiser’s Edge. * Collaborate with the Senior Development Officer, Planned Giving, to ensure the accuracy and maintenance of donor and prospect records in Raiser’s Edge.  * Monitor and analyse program results, preparing regular revenue and forecast reports.  * Perform other projects and duties as assigned.  Major Gift Administration: * Coordinate the distribution of gift of stock notices to both Provincial and National Development and Finance teams.  * Complete revenue forms accurately and in a timely manner. * Update database accordingly to reflect donor detail changes and updates (addresses, email, etc.) * Prepare thank-you letters and receipts for national gifts of stock. REQUIRED SKILLS AND ATTRIBUTES * University degree or equivalent. * Minimum 2 years of relevant experience in the non-profit sector or equivalent. * Knowledge of Planned Giving fundraising is an asset. * Excellent oral and written communication skills. * Proven ability to prioritize tasks, work independently, and meet deadlines. * Highly organized with exceptional attention to detail. * Ability to effectively handle multiple tasks and priorities with a great deal of accuracy. * Strong interpersonal skills and ability to work collaboratively as part of a team. * Experience using Raiser’s Edge fundraising and proficiency in the use of MS Office (e.g. Word, Excel and PowerPoint). * French language is an asset.
