POSITION SUMMARY

We are seeking an enthusiastic, proactive, and highly organized Assistant to support the IT operations of our fast-paced Boston office. This individual will bring a “no task too small” mindset and take pride in both routine responsibilities and critical tasks that help the IT function run smoothly. As a key member of the team, this person will demonstrate exceptional organizational skills, a positive, can-do attitude, and a strong commitment to team success. In addition, they will act as the first point of contact for internal employees, representing the IT team with professionalism and approachability, guiding users to the appropriate resources and ensuring a responsive and helpful support experience.
The ideal candidate thrives in a dynamic environment, operates independently with minimal supervision, and responds quickly and effectively to changing needs. A service-oriented approach, flexibility, and a collaborative spirit are essential. This role interacts closely with internal teams and vendors — so professionalism and discretion are critical. The ability to manage shifting priorities, execute impromptu tasks, and a willingness to always go the extra mile are essential.

REQUIREMENTS/QUALIFICATIONS:

  • Demonstrated “no task too small” mentality with a proactive, positive attitude.
  • Excellent communication skills—both verbal and written.
  • Friendly, approachable, and professional demeanor with a strong commitment to customer service.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced, high-pressure environment.
  • High degree of discretion and professionalism when handling sensitive or confidential matters.
  • A true team player, comfortable supporting colleagues across departments and office locations.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Bachelor’s degree preferred; minimum of two years of relevant administrative or office support experience.
  • Flexibility to be accessible after hours, as needed
    LOCATION: Boston, MA. 4 days/week in office. These in-office requirements may change based on the needs of the business.

Responsibilities
  • Vendor Contract Management
  • Support IT Vendor Manager with vendor renewals by preparing renewal summaries in Excel.
  • Maintain organized vendor documentation in the SharePoint IT vendor folder.
  • Invoice and Billing Management
  • Code all IT invoices for finance and review for accuracy.
  • Allocate monthly mobile corporate phone bills appropriately.
  • Mobile Device Management
  • Order mobile phones as required.
  • Maintain weekly updates for mobile phone inventory and assignments.
  • Maintain mobile phone information within internal systems.
  • IT Asset and Inventory Management
  • Conduct weekly IT asset inventory checks to ensure stock levels meet minimum requirements.
  • Report shortages and submit fulfillment requests or support tickets.
  • Tag all new equipment with asset information.
  • Maintain cleanliness and organization of IT asset closets and storage areas.
